Supervisor - Leave of Absence Job

Job Summary
The Supervisor - Leave of Absence is responsible for overseeing and supporting the administration of leave programs across TTX Company for both union and non-union employees. This role ensures accurate processing of leave requests, compliance with federal and state regulations, alignment with collective bargaining agreements, and consistent communication with internal customers. The Supervisor serves as a subject matter expert and escalation point for complex leave matters and partners closely with HR, Labor Relations, and third-party administrators to facilitate smooth leave experiences and return-to-work transitions.
Key Responsibilities
- Oversee the administration of leave programs including FMLA, short-term disability, workers' compensation, parental leave, and supplemental sickness.
- Coordinate with third-party administrators, the Railroad Retirement Board (RRB), and internal systems (Oracle HCM, eSHIFT, QC Clock) to ensure timely, accurate, and compliant leave processing.
- Monitor, audit, and maintain leave records to ensure compliance with regulatory and reporting requirements.
- Interpret and apply provisions from collective bargaining agreements related to leave administration and return-to-work practices.
- Serve as an escalation resource for employees and managers regarding leave status, documentation requirements, timelines, and related disciplinary administration under union agreements.
- Partner with Labor Relations to resolve leave-related issues and ensure adherence to negotiated benefits and contractual obligations.
- Prepare and analyze reports for HR leadership on leave trends, utilization, compliance risks, and operational metrics.
- Support the development, documentation, and ongoing maintenance of standard operating procedures (SOPs) and internal controls related to leave processes.
- Provide guidance, coaching, and quality oversight to leave administration staff as applicable.
Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- 5+ years of experience in leave administration or HR operations, preferably in a unionized environment.
- Strong working knowledge of FMLA, ADA, workers' compensation, and disability benefit programs.
- Experience working with HRIS platforms (Oracle HCM preferred) and strong proficiency in Microsoft Excel; familiarity with BI tools is a plus.
- Excellent attention to detail, organizational skills, and the ability to handle sensitive and confidential matters.
- Strong written and verbal communication skills, with the ability to work effectively across departments and with external partners.
Preferred Experience
- Experience in transportation, logistics, or manufacturing environments.
- Familiarity with Railroad Retirement Board processes and union-related leave provisions.
- Prior experience supporting unionized employees and interpreting collective bargaining agreements.
