Job Description:
We are looking for a reliable, organized, and proactive Remote Assistant (also known as Virtual Assistant) to provide high-level administrative, operational, and personal support on a fully remote basis. You will work independently, manage multiple priorities, and help keep the business (or executive) running smoothly from anywhere.Key Responsibilities Manage calendars, schedule meetings, appointments, and video calls across multiple time zones
Handle email correspondence, respond to inquiries, and maintain professional inbox management
Book travel arrangements, accommodations, and transportation
Prepare documents, reports, presentations, agendas, and meeting minutes
Conduct research on markets, competitors, vendors, or specific topics as requested
Perform data entry, organize digital files, and maintain accurate databases and spreadsheets
Assist with project management: track tasks, deadlines, deliverables, and follow-ups
Manage social media accounts (posting, engagement, basic content scheduling)
Handle customer or client inquiries via email, chat, or phone
Process expense reports, invoices, and basic bookkeeping tasks
Coordinate events, webinars, or team offsites (virtual or in-person logistics)
Create and maintain standard operating procedures (SOPs) and documentation
Provide personal assistance when needed (gift purchasing, reservations, family scheduling, etc.)
Monitor and respond to Slack/Teams messages and other internal communication tools
Identify opportunities for process improvement and automation
Maintain strict confidentiality with all sensitive information
Daily/Weekly Expectations Work during core business hours (with some flexibility based on client time zone)
Attend regular check-in meetings via video call
Deliver weekly progress reports or task summaries
Proactively anticipate needs and flag potential issues before they arise
Tools & Platforms You Should Be Comfortable With (or willing to learn quickly)
Google Workspace (Gmail, Calendar, Drive, Docs, Sheets), Microsoft 365, Slack, Zoom, Trello/Asana/Notion, Canva, social media platforms, and basic CRM tools.
