Position Overview:
This role requires a high level of organizational skills, attention to detail, ability to multitask, and excellent communication skills. This position is available as a remote position.
Key Responsibilities:
1. Schedule and Time Management:
- Manage my calendar by scheduling meetings, appointments, and events.
- Coordinate travel arrangements, including flights, accommodations, and transportation.
- Prioritize tasks and deadlines to ensure efficient time management
- Assist in managing email correspondence and responding to inquiries on my behalf.
2. Administrative Support:
- Conduct research, gather information, and prepare briefs or reports as requested.
- Create and maintain an organized filing system for documents, contracts, and manuscripts.
- Prepare and edit documents such as manuscripts, articles, or presentations.
- Proofread and copy/edit written material to ensure accuracy and consistency.
3. Communication and Networking:
- Serve as a liaison between me and clients, publishers, agents, and other stakeholders.
- Coordinate book signings, interviews, and speaking engagements.
- Manage social media accounts and website updates to promote my work.
4. Organization and Logistics:
- Order and manage office supplies and equipment.
- Prepare and track invoices, expenses, and financial records.
- Arrange and oversee events, book launches, or publicity campaigns.
5. Confidentiality and Discretion:
- Handle sensitive information and maintain strict confidentiality.
- Exercise discretion in all matters
- Manage contracts, copyrights, and legal documentation related to my work.
Qualifications:
- Proven experience as a personal assistant or executive assistant is preferred
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Proficiency in using various software and tools, such as MS Office and project management platforms.
- Knowledge of literary industry trends, publishing processes, and social media platforms.
- Attention to detail and a commitment to delivering high-quality work.
- Ability to work independently, prioritize tasks efficiently, and handle multiple deadlines.
