Job Description:
Women4Change is seeking a highly organized and detail-oriented Part-Time Office Manager to support the daily operations of our nonprofit organization. This role focuses on financial management, administrative coordination, and maintaining a well-functioning office environment. The ideal candidate will excel at prioritizing tasks and maintaining accuracy in a fast-paced setting while supporting Women4Change’s mission.
Position Details
• Hours: Part-time, approximately 20 hours per week.
• Location: 1100 W 42nd Street, Suite 215, Indianapolis, IN 46208
• Reports To: CEO/Executive Director
Key Responsibilities
Financial Management
Process mobile and bank deposits (daily limit $5,000), ensuring accurate recordkeeping with standardized naming conventions and digitally and physically filing. Upload deposit details to financial management platforms, share with the finance team, and manage documentation for third-party contributions (e.g., Benevity, PayPal). Handle recurring expenses via autopay accounts for rent, utilities, and subscriptions, process manual payments with CEO approval, and organize all receipts and invoices. Collaborate with interfacing financial management platforms to review and approve monthly reconciliation reports.
Office Management
Maintained and restocked office supplies, tabling kits, and merchandise inventory to ensure availability for events and daily operations. Coordinate and schedule meetings, including board, staff, and committee gatherings, while keeping organizational calendars current. Manage electronic and physical filing systems for receipts, vendor records, and staff timesheets, ensuring accessibility and accuracy.
Administrative Support
Prepare and distribute materials for meetings, such as agendas, minutes, and reports, and keep the board and committee rosters updated. Monitor general inboxes to ensure timely responses or follow-ups, and manage IT needs by maintaining accounts and subscriptions (e.g., Canva, Squarespace, Mailchimp). Assist with special initiatives like tabling events and staff recognition activities.

Job Requirements:
• Proven experience in office management, administration, or a similar role.
• Proficiency with tools like Google Drive, QuickBooks, and Microsoft Office Suite.
• Exceptional organizational and time management skills.
• Excellent communication abilities and attention to detail.
• Familiarity with nonprofit operations is a plus.
