Tasks:
- Plan, organize, and control day-to-day administrative operations across compliance, records, trust/commission accounting and HR.
- Lead brokerage regulatory compliance and keep audit-ready logs, calendars, and evidence.
- Oversee records management for listings, offers, disclosures, and conveyance files; ensure timely, complete, and accurate file closure and retention.
- Direct trust and commission accounting: supervise conveyancing, three-way trust reconciliations, commission payouts, and required monthly/annual filings.
- Manage budgets and purchasing for admin and compliance operations; negotiate key vendor contracts and track cost savings.
- Prepare management reports and briefs with KPIs on compliance findings, file turnaround, and payout cycle times.
- Run HR administration for support staff and assist with agent onboarding/offboarding, licensing renewals, and training schedules.
- Maintain risk and continuity controls (access, incident logs, backup and recovery for critical records and systems).
- Handle escalations on complex files and complaints; implement root-cause fixes and updated SOPs.
- Drive process improvement and light automation (e-sign, CRM, conveyance tools) to reduce errors and shorten cycle times.
