Job Description:
We are seeking a dynamic and organized individual to join our team as an Office Manager. The successful candidate will oversee and coordinate front-office and administrative procedures, including patient registration, scheduling, and electronic medical records (EMR) management, ensuring efficiency and compliance with regulations. They will be responsible for establishing work priorities, delegating tasks, and ensuring deadlines are met. Additionally, the Office Manager will handle administrative activities related to admissions, referrals, records release, and office services coordination.
Responsibilities:
? Oversee and coordinate office administrative procedures, and review, evaluate, and implement new procedures as needed.
? Establish work priorities, delegate tasks to office support and reception staff, and ensure deadlines are met and procedures are followed.
? Carry out administrative activities associated with patient admissions, registration, and intake.
? Administer policies and procedures related to the release of patient records, in compliance with government access-to-information and privacy legislation.
? Coordinate and plan for office services, such as equipment, supplies, forms, and security, including appointment scheduling and EMR systems.
? Conduct analyses and oversee administrative operations related to budgeting, contracting, and project planning.
? Assist in the preparation of the operating budget and maintain inventory and budgetary controls.
? Coordinate specialist referrals and communicate with physicians, hospitals, laboratories, pharmacies, and diagnostic imaging centres regarding patient billing and insurance documentation.
? Assemble data and prepare periodic and special reports, manuals, and correspondence.
? Supervise reception and administrative support staff.
Requirements:
? Diploma in Medical Office Administration or a related field
? Three or more years of experience in medical office administration
? Experience with electronic medical records (EMR), patient registration, and appointment scheduling
? Strong organizational and leadership skills
? Excellent communication and interpersonal abilities
? Proficiency in MS Office Suite and EMR/office management software
? Ability to multitask and prioritize tasks effectively.
? Attention to detail, confidentiality compliance, and problem-solving skills.
