Experience
1–2-year experience in a clerical position or related to operations management is preferred. We welcome candidates with diverse backgrounds of experience.
Specific Skills
• Oversee office activities, including scheduling driver orientations, coordinating dispatch support, and handling communications with clients, brokers, and drivers.
• Ensure driver qualification files, safety records, trip sheets, and compliance documents are accurately maintained, up to date, and easily accessible.
• Assist with office budgeting by monitoring operating expenses, processing invoices, and preparing periodic financial and operational reports.
• Organize internal meetings, safety training sessions, and compliance audits, including preparing required documentation for management review.
• Keep detailed records of fleet maintenance schedules, fuel logs, billing records, and correspondence with shippers and regulatory authorities.
• Ensure office operations comply with transportation safety regulations, licensing requirements, and confidentiality standards when handling client or driver information.
• Assist with client inquiries, provide updates on shipments, schedule meetings, and help maintain strong relationships with customers and drivers.
• Manage office supplies, equipment, and resources to keep the workplace organized, safe, and fully functional to support logistics operations.
• Act as a liaison between dispatch, operations, and accounting departments, as well as with external vendors, maintenance providers, and regulators.
• Develop, implement, and enforce office policies and standard operating procedures to improve efficiency and ensure consistency across administrative functions.
• Address office-related issues promptly and implement effective solutions to minimize disruptions in operations.
• Oversee office systems and dispatch software, ensuring that communication tools and fleet management systems are functioning properly.
• Respond to inquiries via phone, email, and in person, providing detailed information to clients on load statuses, delivery schedules, rates, and company services.
