Job Description:

Position: Office Manager
Positions available: 1
Work Hours: 30 hours per week
Wage: $35.00/hour

Job Requirements:
Key duties and responsibilities:
• Manage and optimize administrative processes for office operations, ensuring the evaluation and implementation of new strategies to improve efficiency.
• Define task priorities, allocate responsibilities to office staff, and ensure compliance with timelines and company protocols.
• Oversee administrative activities related to property listings, client onboarding, and transaction documentation.
• Administer policies and procedures for managing property records, ensuring compliance with regulations on information privacy and access.
• Coordinate and plan office services, including workspace arrangements, relocations, supplies, equipment, property maintenance, parking, and security requirements.
• Analyze and manage administrative operations related to budgeting, vendor contracts, and project planning for real estate developments or transactions.
• Assist in preparing the operational budget for the office, maintain inventory records, and monitor financial control systems.
• Compile and prepare market reports, transaction summaries, procedure manuals, and client communications as required.
• May supervise record-keeping staff and other personnel handling documentation for property transactions.

Requirements for the job:
• Completion of secondary school.
• 1 to 2 years of previous clerical work experience.
• Computer knowledge in Google Docs, MS Office, Word, Excel, Power Point and Windows, Quickbooks, Webforms, kvCORE, Touchbase, Paragon (Residential & Commercial), MacOS.
• Ability to effectively partner and liaise with all levels of the business and develop and sustain cooperative working relationships with internal staff, and external contacts.
• Able to adapt to different communication and working styles.
• Must be proactive and work well in a collaborative environment, with the ability to take guidance but then move tasks forward independently.
• Ability to communicate effectively, both oral and written, with people at all levels of seniority.
• A strong work ethic, work under pressure and manage tight deadlines, ability to handle multiple demands, competing priorities and adapt to new idea and constant changes.
• Be detail-oriented with a keen focus on producing accurate work.
