Office Assistant
Location: Remote (USA & Canada Only)
Description
We are seeking a reliable and proactive Office Assistant to support daily administrative operations across departments. The ideal candidate will have strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The Office Assistant will help ensure efficient and smooth day-to-day office operations. Responsibilities
Perform general administrative duties including answering calls, responding to emails, and handling incoming/outgoing mail.
Maintain and organize digital and physical filing systems.
Schedule and coordinate meetings, appointments, and conference calls.
Prepare reports, memos, and correspondence as required.
Assist in ordering and managing office supplies and inventory.
Support other departments with data entry, documentation, and clerical tasks.
Maintain office cleanliness and functionality (for in-person offices).
Help onboard new hires by preparing paperwork and arranging access to systems.
Coordinate travel arrangements and prepare expense reports as needed.
Handle sensitive and confidential information with discretion.
Liaise with external vendors and service providers when necessary.
Follow up on action items and ensure deadlines are met.
Assist with special projects and other administrative tasks as assigned.
Job Requirements:
High school diploma or equivalent required; associate’s degree or higher preferred.
1-2 years of administrative or clerical experience in an office setting.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and office equipment.
Strong organizational and time-management skills.
Excellent written and verbal communication abilities.
Ability to multitask and prioritize work effectively.
Professional demeanor and positive attitude.
Capable of handling confidential and sensitive information.
Detail-oriented with a high level of accuracy.
Self-motivated and able to work both independently and as part of a team.
