Job description:
Millwork Operations Manager (Front-End / Pre-Con)
Coastal Accents Millwork | Victoria, BC (Estevan Village + site visits)Full-time | Leadership seat | Compensation based on experience
Coastal Accents Millwork is a Victoria-based cabinetry and millwork company specializing in refined, design-forward kitchens and built-ins. We serve homeowners, designers, and select builders who value quality, clarity, and a well-managed experience.
We’re hiring a Millwork Operations Manager to build and run the front-end operating system that turns our projects into an install-ready, predictable package, which is measured properly, clearly detailed, ordered accurately, and handed off cleanly. Think: calm precision, not chaos.
This is a leadership role. Which includes you setting the standard, running the gates, coaching the team, and owning the outcomes so projects move through pre-con with calm consistency and the install team isn’t walking into surprises.
Purpose of the role
Own the front-end operations workflow (measure ? scope ? drawings/specs ? pricing assumptions I’m unsure of the word assumptions? order readiness ? release/handoff) so Coastal Accents delivers predictable timelines, clean installs, and protected margins.
This is a leadership seat
You’ll set the standards and run the front-end rhythm so the team can execute consistently. You’ll be hands-on where it matters (gates, risk calls, coaching), and you’ll build a system the team can rely on as volume grows.
Core accountabilities (what you own)
Workflow + standards: Build, document, and enforce the standard process from measure to release.
Stage gates / quality control: Establish and run gates such as: Measure Complete ? Scope Complete ? Drawings Approved ? Ready-to-Order ? Ready-to-Release.
Constructability + risk management: Ensure details are buildable, coordinated, and clearly communicated before anything is promised or released.
Order readiness + accuracy: Ensure ordering packages are complete (specs, hardware, finishes, fillers, panels, appliance notes, site constraints), and reduce order errors and remakes.
Margin protection (front-end): Maintain the estimating/pricing assumptions and “rules of engagement” that reflect real install effort and protect profitability.
Clean Handoffs that lift up installers: Deliver install-ready packages to production/installation partners with minimal rework and clear responsibility.
Continuous improvement loop: Approach every day with a drive to continually improve. Capture recurring issues (lessons learned, missing information, installation slowdowns) and convert them into updated standards, templates, and training.
Team leadership & rhythm
You will lead the front-end workflow by:
Coaching sales/design and drafting/detailing on standards and constructability.
Assigning work, setting priorities, and ensuring on-time delivery across the pre-con team.
Running a weekly operations rhythm (pipeline/WIP, releases, constraints, upcoming installs, vendor lead times, and risk review).
Holding the line on “definition of done” while supporting the team to hit it.
Building an award Winning Team
Key interfaces (who you work with)
Sales/Design: scope clarity, constructability, client/design partner expectations
Drafting/Detailing: drawing quality, completeness, revision control
Vendors/Suppliers: lead times, specs, substitutions, release timing
Installation partners: install readiness, site constraints, sequencing
Our established sister company (on shared projects): aligned scopes, dependencies, and clean coordination
How you’ll be measured (examples)
Order accuracy rate and reduction in remakes/returns
Front-end cycle time (lead ? release) with transparent WIP
Install-ready package score (completeness, clarity, minimal missing info)
Rework/callbacks attributable to front-end gaps (trend down)
On-time releases vs schedule commitments
Standards adoption (team using the system consistently)
The kind of leader we’re looking for
We hire leaders who are hungry, humble, and smart.
Hungry: You take ownership, you move things forward, and you care about getting better.
Humble: No ego. You give credit, take responsibility, and you’re easy to work with.
Smart: You read the room, communicate clearly, and make good calls under pressure.
Experience that fits well
Cabinetry/millwork operations, pre-con leadership, install leadership, or technical project leadership
Strong constructability instincts (you’ve seen what goes wrong in the field)
Comfort reading and challenging drawings (plans/elevations/details)
Experience building SOPs/checklists and holding teams to them
Clear communicator who can be firm and respectful at the same time
Strong Computer knowledge ( Google Workspace, 2020)
Leadership experience
Strong Cabinetry knowledge / Kitchen design background.
