Job Description:
Administrative Coordination
• Coordinate and oversee office administrative operations such as recordkeeping, filing systems, workflow procedures, and office equipment maintenance.
• Implement and monitor administrative procedures, policies, and standards.
• Prepare and review administrative reports, correspondence, and internal documentation.
• Assist in planning, organizing, and coordinating office services including supplies, inventory, workspace layout, and office move logistics.
Communication & Office Support
• Respond to internal and external inquiries, ensuring professional communication and timely resolution.
• Maintain schedules for meetings, appointments, and departmental activities.
• Organize and coordinate internal communications, notices, and administrative updates.
Data & Document Management
• Maintain computerized and manual information filing systems.
• Prepare reports, presentations, spreadsheets, and data summaries as required.
• Track and update office records, invoices, purchase orders, and internal forms.
Operational Support
• Coordinate the flow of information between departments to ensure timely work processing.
• Participate in administrative budgeting, monitoring office expenditures, and cost tracking.
• Ensure compliance with company policies, procedures, and regulatory requirements.
Supervisory Functions (If required)
• May supervise and train administrative support staff.
• Coordinate work assignments, monitor performance, and guide new employees.
Job Requirements:
Employment Requirements
• Completion of a college diploma or university degree in business administration, office administration, or a related field.
• Previous experience in administrative or office coordination roles is required.
• Strong organizational, documentation, and communication skills.
• Proficiency with office software including MS Office (Word, Outlook, Excel, PowerPoint), scheduling tools, and basic database systems.
• Ability to multitask and manage priorities in a fast-paced environment.
• Experience in coordinating office procedures, purchasing, or record-keeping is an asset.
• Supervisory experience is an advantage but not mandatory.
