We have a new opportunity for a Legal Systems & Records Administrator, located in Pittsburgh, PA
What You’ll Do
As a Legal Systems & Records Administrator, you’ll support and administer the applications and business processes used by the Legal Department for the management of business unit contracts and the review and approval of policies and procedures. Ensures the integrity of document repositories and their integration with other applications, including Salesforce and artificial intelligence applications. Support and interact with personnel from all departments across the company with regard to their use of Federated Hermes’ corporate SharePoint repositories for policies & procedures and contracts.
• Administer the Business Unit Contracts Library and the Policies and Procedures Management System (PPMS), including managing site access permissions and supporting document workflow users
• Support workflow processing by performing administrative tasks, monitoring in-process workflows, assisting end users and recommending improvements
• Perform entry of documents and metadata into SharePoint repositories
• Generate periodic and ad hoc reports for management, business unit records analysis and to ensure data accuracy and consistency
• Manage electronic recordkeeping processes to ensure compliance with records retention requirements
• Support business unit use of the repositories through individual coaching, problem solving and providing basic system support
• Work with Compliance and GTO to support and enhance the PPMS. Manage digitized records on Legal’s shared drives, repositories and internal sites
• Respond to management requests for Legal Department records/information
• Train and assist business unit coordinators
The Expertise We’re Looking For
• Minimum 3 years business experience required; college or technical school preferred
• Basic understanding of mutual funds operations preferred
• Proficiency in Microsoft products, including Word, Excel and Access required
• Experience with document management system such as SharePoint preferred
• Understanding of data processing concepts, including databases and file management preferred
