To better fulfill our commitment to delivering exceptional services, Billyard Insurance Group-Halifax West Branch is currently looking for a permanent and full-time insurance legal assistant who is supposed to perform a variety of legal administrative duties and help improve the branch’s overall operating efficiency.
Job Description:
1.Plan, organize, and maintain legal documents and case files relating to insurance claims, policies, and litigations.
2.Draft, review, and proofread a variety of legal correspondences and official documents, including contracts, memos, pleadings, reports, etc.
3.Establish operating office procedures and routines, maintain and update client databases and filing systems, and take confidentiality responsibilities.
4.Handle the branch’s regular incoming and outgoing correspondences, including mail, calls, and electronic messages.
5.Prepare the daily agenda, schedule meetings and appointments, arrange business travel and related itineraries, and keep relevant parties informed promptly.
6.Communicate with clients, insurance brokers, and legal professionals to gather information, track case timelines and deadlines, and ensure compliance with legal protocol and timeline.
7.Receive clients’ inquiries, help clients understand their rights and options within the insurance process, and figure out and address their concerns.
8.Calculate billable hours for attorneys, prepare billing statements, and ensure the processing of payment and invoice is timely and accurate.
9.Focus on changes in legislation that may affect insurance practices and inform the business team accordingly.
10.May attend hearings, depositions, and legal conferences and take notes if needed.

1. A college diploma in insurance, law, or business discipline is required. A bachelor’s degree or higher is an asset.
2. A minimum of three years of experience in similar roles.
3. Basic knowledge of insurance and familiarity with a specialization in one area of law, such as corporate law, contract law, international law, commercial law, etc.
4. Excellent written and verbal communication skills.
5. Strong ability to prioritize multiple tasks with practical time management skills.
6. Well-organized, attention to detail, and a good team player.
