Job Description:
The Immigration Legal Assistant will play a vital role in supporting the firm’s immigration practice, including but not limited to:

Responding promptly to client inquiries via phone, email, or in-person.

Scheduling consultations, client appointments, and hearings.

Opening, organizing, and maintaining client files in both physical and digital formats.

Managing client follow-ups and ensuring all necessary documentation is received.

Maintaining strict confidentiality of client information.

Drafting and preparing various immigration and refugee applications, submissions, and supporting letters.

Completing immigration forms and ensuring accuracy and compliance with IRCC and IRB requirements.

Preparing disclosure and evidence packages for hearings or appeals.

Filing applications and submissions to the IRCC, CBSA, IRB, Federal Court, or other relevant bodies.

Tracking and monitoring file progress and deadlines to ensure timely submissions.

Answering and directing telephone calls and general office correspondence.

Managing a busy lawyer’s calendar and coordinating client meetings and deadlines.

Organizing and maintaining filing systems, both electronic and paper.

Assisting with billing, invoicing, and payment follow-ups.

Conducting basic legal research related to immigration laws, procedures, and case precedents.

Reviewing and summarizing case files or correspondence.

Assisting with preparation of legal arguments, case summaries, and supporting memoranda.

Proofreading legal documents for accuracy, grammar, and completeness.

Assisting lawyers with hearing preparation and document organization.

Preparing exhibits, evidence lists, and case summaries for hearings before the RPD or RAD.

Liaising with interpreters, translators, and expert witnesses as needed.

Ensuring clients are informed and prepared for interviews, hearings, or document submissions.
Job Requirements:
- Minimum 2 years of experience as a Legal Assistant (immigration law experience preferred)
- Strong knowledge of IRCC, CBSA, and IRB procedures and document filing systems
- Excellent written and verbal communication skills
- High attention to detail and organizational accuracy
- Proficiency in Outlook, Microsoft Office, Adobe Acrobat, and case management software
- Ability to manage a high volume of cases and tight deadlines
- Professional demeanour, discretion, and strong interpersonal skills
- Ability to work effectively under pressure in a team environment
