Job Description:
The Thermal (HVAC) Service Quoting Coordinator prepares HVAC Service work to be estimated and works with the Service Sales, Parts Sales, and the Thermal Services Departments daily on all Thermal Service tickets closures and invoicing processes. This is a high volume, detail oriented, and fast paced role supporting several technicians in our West locations. This Coordinator works in customer portals, and ensures jobs are completed on time. We are a hybrid workplace requiring office attendance in our Sandy, UT location approximately 24 hours per week including Tuesdays.

WHAT YOU WOULD BE DOING

Prepare Thermal service work to be estimated by gathering proposals, specifications and other documents as well as working with Thermal technicians
Submission via customer portals and providing updates
Assist the Sales team by providing guidance with service bids
Collaborate with field technicians and Parts Sales Department to assist in parts lookup and availability
Efficient follow-up to pursue outstanding quotes and ensure jobs are completed as promised
Identify labor, material, time requirements by studying proposals, specifications, and interrelated forms
Maintain parts inventory for Service Technicians’ trucks and the Service Department
Compute cost by analyzing labor, material and time requirements
Order parts from the Parts Sales Department and 3rd party vendors per the job requirements
Create service ticket for the work to be scheduled through dispatch
Ensure all logistics, materials and technologies align with scope of services
Review and analyze financial contractual and quoting obligations regarding the service
Create Method of Procedure (MOP) to meet customers’ requirements for job completion
Assist Thermal technicians with truck inventory paperwork
Assist with answering Service customer phone calls as needed
Back up coverage for Estimating Coordinators in all locations as needed
Job Requirements:
MINIMUM REQUIREMENTS TO APPLY

High School Diploma is required; Some college preferred
At least one year of recent and relevant customer service quoting experience required; Prior Thermal Services experience preferred
Experience with customer portals
Experience with basic estimating and accounting and with contract language
Experience with purchase orders, bids, and subcontracts
Ability to manage multiple tasks and work consistently in a volume–driven, fast–paced environment
Strong organizational and time management skills
Proficient with Microsoft Office Suite. Highly proficient with Excel
Able to work in a hybrid workplace requiring office attendance approximately 24 hours per week including Tuesdays

The salary pay range is $30.88 - $33.17/hour plus bonus based on relevant service quoting experience.
