Executive Assistant to the CEO Job

To support our business strategy and drive enterprise collaboration, we're searching for a qualified Executive Assistant to support our CEO. This person will have an immediate impact on mission and our productivity by ensuring effective and efficient operation of the executive office. The ideal candidate will have proven success in delivering fast and reliable results across a broad variety of administrative tasks, while supporting a positive team culture. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The successful candidate will value having a positive working relationship with the CEO and a close-up view of GMAC at a time of transformation in the industry and in our key lines of business.
The Executive Assistant to the CEO is an important member of the support team and key contributor to the long-term success of GMAC. The Executive Assistant must be flexible, creative, results-driven and possess strong interpersonal and communication skills. In addition, the Executive Assistant must demonstrate a high level of discretion, tact, and diplomacy in carrying out their responsibilities.
Key Responsibilities:
- Manage the CEO's day-to-day administrative activities, including but not limited to scheduling, making travel arrangements, handling engagement logistics, and expense management. Keep the CEO well informed and well prepared for upcoming commitments and responsibilities.
- Participate in CEO internal and external communications to ensure key messages are effectively delivered and well received. Help write, edit, and review emails, memos, acknowledgements, posts, videos, and various other communications that best facilitate credibility and trust.
- Support the CEO and executive office in preparing for and running senior leadership and, at times, board-related meetings, including conducting research, completing analysis, preparing agendas and presentations, capturing notes, and initiating follow up action. Schedule participants, arrange resources and plan appropriate meeting settings, including catering, and other special requests as needed. Help all meetings and events be inclusive and designed for purpose.
- Consistently work collectively with peers across the organization to maintain a high level of support for the executive office and other senior leadership. Streamline and improve internal processes. Proactively work with senior leadership and staff teams to design and execute engagement, development, and community building activities across the enterprise. Coordinate team building activities for the executive office and leadership team.
- Project manage executive office-related special projects and activities. Support the efficient execution of key enterprise initiatives, programs, and projects, as assigned. Collaborate internally and provide support with projects and tasks within the organization, as delegated.
- Maintain the strict confidence of the CEO. Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature.
- Other responsibilities and duties, as assigned.
Minimum Requirements:
- Bachelor's degree; Or equivalent combination of education, skills, and experience.
- 3 years of administrative experience supporting a senior executive.
- Demonstrated growth mindset, emotional maturity, organizational curiosity, overall enthusiasm for the role, urgency toward action and accountability for results.
- Ability to understand the workings of business strategy and operations.
- Proven success in delivering fast and reliable results across a broad variety of administrative tasks, while supporting a positive team culture.
- Ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
- Strong project management skills to deliver on plan, on time and on budget.
- Strong organizational skills, ability to multitask, and attention to detail.
- Ability to prioritize tasks, show good judgment in seeking guidance, work independently, and meet deadlines with only routine supervision.
- Strong interpersonal skills, an encouraging 'can-do' attitude and a knack for productive collaboration and relationship building. Ability to interact with a wide variety of people both externally and internally, using diplomacy, tact and discretion.
- High personal integrity and an ability to switch gears when needed.
- Excellent verbal, written, and visual communication skills, with an ability to assist in developing and conveying important narratives across all levels of the organization. Demonstrated writing skills for business.
- Proficient in Microsoft Office Suite (Teams, Word, PowerPoint, Excel, and Outlook), Video Conference Systems (Zoom, WebEx, Google Meet, GoToWebinar), internet and social platforms.
- Ability to manage daily operations of the function and prioritize work without direction.
- Ability to work in-office and remotely according to GMAC's hybrid work environment.

Desired Skills/Experience:
- 6 years' executive administrative experience supporting a C-level executive, preferably at a non-profit organization.
- Global travel support experience, including familiarity with visa processing and administration.
- Experience navigating across a multi-site global organization.
