The Esthetic Services Manager will be integral in ensuring our service standards, daily operations, and patient experience remain exceptional for both local and international clientele.

Position Summary
The Esthetic Services Manager will plan, organize, direct, and evaluate day-to-day clinic operations to ensure smooth service delivery, consistent quality standards, and an excellent patient experience. This role must stay grounded in the aesthetic / cosmetic / medical spa environment, and the successful candidate should have hands-on management experience in beauty, aesthetics, dermatology, medical aesthetics, medical spa, or a related clinic setting, with proven ability to hire, train, and supervise staff, manage budgets and inventory, and address patient concerns professionally.

Key Responsibilities
• Direct and control daily operations by overseeing daily service delivery, appointment flow, and treatment-room utilization to ensure smooth clinic operations.
• Direct and control daily operations by coordinating staff coverage and task assignments to meet daily workload and service demands.
• Evaluate daily operations by reviewing daily performance results such as booking volume, cancellations/no-shows, wait times, and client feedback.
• Evaluate daily operations by identifying operational issues or service gaps and implementing corrective actions to improve efficiency and service consistency.
• Plan and organize daily operations by preparing daily/weekly work plans, shift schedules, and operational priorities based on expected demand.
• Plan and organize daily operations by organizing workflow and resource allocation to reduce delays and maintain consistent client experience during peak periods.
• Establish or implement policies and procedures for staff by developing and updating staff policies and work procedures for service delivery and day-to-day operations.
• Establish or implement policies and procedures for staff by communicating procedures to staff and ensuring adherence through training, coaching, and supervision.
• Plan and control budget and inventory by monitoring operating costs and supporting budget planning to ensure spending stays within approved limits.
• Plan and control budget and inventory by managing inventory levels (products, retail items, and consumable supplies), including purchasing, stock tracking, and preventing shortages or waste.
• Manage contracts for advertising or marketing strategies by managing vendor/service agreements related to advertising or marketing activities and ensuring deliverables meet timelines and cost expectations.
• Address customers' complaints or concerns by responding professionally, documenting actions taken, following up with clients, and applying solutions to prevent recurrence; and hire, train and supervise staff by recruiting, onboarding, scheduling, and supervising employees with ongoing performance guidance.

Qualifications & Skills Required:
• College/CEGEP diploma
• At least 3 years of relevant experience in a supervisory or management role in a client-facing service environment (clinic/spa/aesthetic services setting)
• Demonstrated ability to direct, evaluate, plan, and organize daily operations in an on-site workplace
• Experience establishing or implementing staff policies and procedures, and ensuring consistent adherence through supervision, coaching, and clear communication
• Experience planning and controlling budgets and inventory, including purchasing coordination, stock tracking, and basic cost control
• Ability to hire, train, schedule, and supervise staff, and maintain team performance standards in a fast-paced environment
• Proven ability to address customers’ complaints or concerns professionally and resolve issues in a timely manner
• Experience coordinating vendor/service contracts as required (including advertising or marketing service providers)
• Strong client focus, efficient interpersonal skills, excellent oral communication, and reliability
