Job Description:
B&B Consults is seeking a highly accurate and detail-oriented Data Entry Clerk with strong QuickBooks, billing, invoicing, accounts payable/accounts receivable, inventory tracking, and Microsoft Excel experience.
The Data Entry Clerk will be responsible for entering, reviewing, organizing, and maintaining financial, billing, inventory, purchasing, and logistics records. This position requires a high level of accuracy when working with invoices, purchase orders, delivery receipts, inventory records, pricing, quantities, sales tax, and other financial data.
The ideal candidate is comfortable handling high-volume data entry, has strong numerical and analytical skills, can identify discrepancies quickly, and is experienced with QuickBooks Online or QuickBooks Desktop.
Work arrangements : Remote
Employment Type: This is a part-time position with a flexible schedule.
Available to work : Weekdays
Willing to Travel : Locally
Key Responsibilities
QuickBooks Data Entry and Invoicing
• Enter and maintain vendor invoices and client invoices in QuickBooks.
• Create, update, and process invoices and billing records accurately.
• Enter appropriate account, item, customer, and vendor information.
• Maintain accurate accounts payable (AP) and accounts receivable (AR) records.
• Review QuickBooks records for missing, duplicate, or incorrect information.
• Maintain accurate transaction records and supporting documentation.
Billing and Invoice Verification
• Cross-reference purchase orders, delivery receipts, vendor invoices, and client billing records.
• Verify quantities, unit prices, totals, discounts, and sales tax calculations.
• Identify billing discrepancies before invoices are submitted or finalized.
• Review invoice line items for accuracy and completeness.
• Research and document discrepancies or missing information.
• Escalate unresolved billing issues to the appropriate supervisor or manager.
Inventory Data Entry and Tracking
• Enter incoming inventory and shipment information into digital records.
• Update inventory quantities based on receiving, sales, shipments, and stock depletion.
• Compare physical inventory counts with digital inventory records.
• Identify inventory discrepancies and report them promptly.
• Maintain accurate item numbers, descriptions, quantities, and inventory records.
• Assist with inventory reconciliation and recordkeeping.
Data Entry and Record Maintenance
• Perform accurate, high-volume numeric and alphanumeric data entry.
• Enter information from invoices, purchase orders, receipts, shipping documents, spreadsheets, and other source materials.
• Maintain organized and searchable digital records.
• File paid invoices, billing adjustments, purchase orders, delivery receipts, and shipping documentation.
• Ensure financial and inventory records are complete, accurate, and up to date.
• Maintain confidentiality of financial, customer, vendor, and company information.
Data Accuracy and Quality Control
• Compare information across multiple documents and systems to identify discrepancies.
• Check numerical data, invoice totals, quantities, prices, dates, and account information for accuracy.
• Correct data entry errors promptly.
• Follow established data entry, billing, inventory, and recordkeeping procedures.
• Maintain a high level of accuracy while meeting productivity and turnaround expectations.
