Job Summary:
Consenheim Wealth Management is seeking an experienced Client Service Specialist to provide senior administrative support to the Portfolio Manager and advisory team. Working in a fast-paced wealth management practice serving high-net-worth individuals and families, the successful candidate will coordinate executive schedules, manage confidential client records, oversee administrative processes, facilitate client communications, and assist with the efficient delivery of wealth management and financial planning services.
Duties and responsibilities may include some or all of the following:
Provide executive administrative support to the Portfolio Manager and advisory team members by coordinating daily activities, managing competing priorities, and ensuring the efficient operation of the practice.
Manage multiple calendars, schedule client meetings, coordinate appointments, and organize travel and other business commitments as required.
Prepare, review, proofread, and distribute correspondence, reports, presentations, meeting materials, and other business documents.
Coordinate client onboarding, account opening documentation, transfers, and follow-up activities while ensuring documentation is complete and compliant with internal policies and regulatory requirements.
Maintain confidential client records, CRM databases, investment documentation, and electronic filing systems, ensuring the accuracy and integrity of client information.
Serve as a primary point of contact for clients by responding professionally to inquiries received by telephone, email, and in person, resolving administrative matters, and escalating issues where appropriate.
Liaise with financial institutions, insurance providers, Raymond James internal departments, and other third parties regarding administrative matters, client documentation, and account servicing.
Coordinate and improve administrative procedures, workflows, and office systems to support efficient business operations.
Monitor administrative deadlines, outstanding documentation, compliance requirements, and follow-up activities to ensure timely completion of client files.
Assist with the preparation and submission of documentation relating to investment accounts, insurance products, and other financial services.
Utilize Microsoft Office and CRM systems to manage correspondence, complex calendar functions, client communications, reporting, mail merges, and workflow management.
Assist in organizing client appreciation events, educational seminars, marketing initiatives, and other business development activities.
Support approved marketing initiatives, including coordinating client communications, email campaigns, and social media content consistent with corporate policies.
Provide administrative guidance and support to other team members and assist with office administration as required.
Carry out investment orders by purchasing and selling stocks, bonds, treasury bills, mutual funds, and other securities at the instruction of clients in accordance with the Portfolio Manager's instructions, applicable authorizations, and industry regulations.
Monitor client investment portfolios and assist in ensuring investment transactions are completed accurately and in compliance with applicable securities legislation, Raymond James policies, and industry regulatory requirements.
Perform other executive administrative duties necessary to support the Portfolio Manager and the efficient operation of the wealth management practice.
Qualifications:
Completion of a Bachelor’s Degree education in business administration, finance, economics, commerce, or another related field.
A minimum of 2 years of experience providing administrative support within the financial services, wealth management, investment, banking, or insurance industry.
A minimum of 2 years of experience supporting senior professionals while managing multiple priorities in a fast-paced, client-focused environment.
A minimum of 2 years of experience coordinating executive calendars, client meetings, correspondence, and confidential business documentation.
Successful completion of the Canadian Securities Course (CSC) is required.
Successful completion of the Conduct and Practices Handbook (CPH) is required.
Demonstrated knowledge of Canadian securities industry regulations, wealth management practices, and investment administration is required.
Strong knowledge of office administration, client relationship management (CRM) systems, and electronic records management.
Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint, with demonstrated experience managing complex calendars and professional business communications.
Excellent organizational, time management, and multitasking skills with exceptional attention to detail.
Excellent written and verbal communication skills in English.
