1. POSITION OVERVIEW

The Business Systems Manager – Legal Systems plans, directs, controls, and evaluates the computer software, digital information infrastructure, and automated case management platforms of the legal enterprise. Operating at the intersection of enterprise information technology, business administration, and legal practice operations, the incumbent is responsible for modernizing, maintaining, and securing mission-critical legal business systems.

Primary areas of oversight include Enterprise Legal Case Management Systems (CMS), Document Management Systems (DMS), centralized legal knowledge bases, automated time/billing and trust accounting software, and the evaluation and deployment of Legal Artificial Intelligence (AI) and Large Language Model (LLM) tools. The position exercises direct managerial authority over business systems analysts, legal tech specialists, administrative personnel, and external software vendors.

2. CORE DUTIES & RESPONSIBILITIES (ALIGNED TO NOC 20012)

A. Systems Strategy, Architecture & Evaluation (NOC 20012 Primary Duty)

Enterprise Software Planning: Plan, direct, and evaluate the overall architecture, integration, and performance of enterprise legal software applications, ensuring alignment with institutional strategic goals and regulatory standards.

System Feasibility & Lifecycle Management: Lead the full Software Development and Deployment Lifecycle (SDLC) for legal tech solutions—from initial requirements elicitation, vendor assessment, gap analysis, and pilot testing to enterprise rollout and post-implementation review.

Infrastructure Assessment: Continually audit existing digital systems, data flow bottlenecks, and server/cloud hosting environments to identify system enhancements, retiring redundant software and migrating legacy data.

B. Legal Practice Systems, Workflow Automation & AI / LLM Governance

Case Management & Docketing Platforms: Direct the customization and maintenance of cloud and on-premise Legal Case Management Systems (e.g., Clio, Smokeball, Thomson Reuters Elite/HighQ, PracticePanther, or proprietary CMS).

Process Automation & Document Assembly: Collaborate with practice group heads and litigation teams to convert manual drafting and intake processes into automated digital workflows, rule-based conflict-checking modules, and electronic court document assembly tools.

Legal AI & Knowledge Management Integration: Direct the evaluation, testing, and deployment of specialized Legal Generative AI and Large Language Model (LLM) applications (e.g., CoCounsel, Harvey AI, Azure OpenAI frameworks) for statutory research, contract anomaly detection, and automated indexing.

Digital Knowledge Repositories: Architect and oversee structured legal precedent databases, establishing indexing taxonomies, metadata tagging schemas, and semantic search algorithms across thousands of court filings, opinions, and transaction records.

C. Data Governance, Security, Privilege & Regulatory Compliance

Confidentiality & Privilege Protocols: Formulate, implement, and enforce information security, role-based access control (RBAC), and digital audit trail policies to safeguard solicitor-client privileged data, work-product doctrine materials, and sensitive corporate records.

Compliance Assurance: Ensure all legal systems, client portals, electronic billing records, and cloud document repositories comply with jurisdictional data privacy legislation, statutory retention mandates, and Bar Association professional conduct standards.

Business Continuity & Disaster Recovery: Formulate and test Business Continuity Plans (BCP), scheduled data backup procedures, and disaster recovery runbooks to prevent catastrophic operational disruption and data loss.

D. Financial Governance, Vendor Relations & Resource Allocation

Departmental & Project Budgeting: Formulate, monitor, and control the annual operational expenditure (OPEX) and capital expenditure (CAPEX) budgets for legal business systems, software licenses, cloud computing infrastructure, and IT hardware replacements.

Vendor Contract & SLA Management: Direct negotiations with enterprise legal software providers, cloud hosting vendors, cybersecurity auditors, and telecommunication partners; enforce and monitor Service Level Agreements (SLAs).

Cost-Benefit & ROI Analysis: Formulate comprehensive business cases, software return-on-investment (ROI) metrics, and risk assessments for presentation to the Partnership Board and Executive Committee.

E. Team Leadership, Supervision & Organizational Change Management

Personnel Management: Recruit, supervise, evaluate, and mentor a multidisciplinary team of business systems analysts, legal technologists, database administrators, and IT support specialists.

Change Management & User Adoption: Design and institutionalize firm-wide systems training programs, user operating procedures (SOPs), and user-support desks to ensure 100% user adoption across attorneys, paralegals, and administrative staff.

Interdepartmental Liaison: Serve as the primary strategic translator between non-technical partners/attorneys and technical software engineers/data architects.
