Job Description:
Gnosis Development Inc is a real estate development and construction company focusing on residential, commercial building and renovation projects In British Columbia. Our company is based in Galiano Island, BC and we are looking for a full time administrative services manager to join our team.

As the Administrative Services Manager, the ideal candidate is required to complete the following duties
• Develop, formalize, and administer operational policies, procedures, and processes in support of administrative operations. Ensure efficient document control processes, project filing systems, and databases for permits, contracts, drawings, and compliance records. Monitor administrative KPIs related to project timelines, procurement, and reporting accuracy.

• Evaluate and enhance the company’s client relationship management processes across development, sales, and construction phases. Standardize administrative workflows to improve client communications, investor reporting, and stakeholder satisfaction, contributing to stronger client retention and project acquisition

• Serve as a liaison between different departments ensuring clear communication, timely documentation flow, and alignment with project milestones.

• Work with administrative staff to prepare, review, and manage service contracts. Ensure documentation accuracy, compliance with regulatory requirements, and timely tracking of invoicing and payment schedules.

• Support senior leadership in developing annual budgets and project-specific administrative cost plans. Monitor expenditures related to office operations, project administration, equipment, and supplies, and prepare financial and management reports to support decision-making.

• Manage, supervise, and evaluate administrative, procurement, and support staff. Establish performance standards, conduct performance reviews, and implement staff training and development programs to ensure effective service delivery and continuous improvement.

• Develop and implement service quality standards and performance measurement systems for administrative functions. Monitor outcomes, identify gaps, and lead process improvements to enhance operational efficiency and support project execution.

The highlight of Qualification:
• Degree in business administration, economics, or similar field is required.
• 2+ years of work experience in an administrative role is required
• Strong understanding of administrative systems, document control, and office operations
• Excellent coordination and cross-functional communication skills
• Proficient in MS Office, financial software is an asset.
• Strong organizational and planning skills.
• Ability to work under pressure and maintain a high degree of accuracy.
