Administrative Services Coordinator

The Healthy Way Medical Diagnostic Centre was established in 2009 and is in North York, Ontario. Our medical clinic is a full-service, non-invasive cardiology center, that focuses on the accurate diagnosis of cardiovascular risk and prevention of cardiovascular illnesses. We provide our clients with professional consultation on-site and a complete non-invasive cardiac investigation in our fully equipped cardiac testing facility. Our company is promoting an optimal lifestyle, and our main purpose is to examine the work of the heart and to identify the disease in its early stages. Our company dedicates its resources to providing the highest quality of health care to clients.
THE POSITION:
In order to support the ongoing expansion of our operations, we are looking to hire an experienced, detail-oriented Administrative Services Coordinator to oversee and coordinate the daily administrative operations.
KEY RESPONSIBILITIES:
• Coordinate and direct the daily activities of administrative staff medical support administrative employees at the medical clinic, including medical receptionists and clerical personnel, to ensure efficient service delivery.
• Implement and coordinate administrative policies and procedures related to patient intake, scheduling, and records management.
• Establish work schedules, collect leave requests, and ensure adequate staffing levels to maintain continuity of clinic operations.
• Monitor the quality and efficiency of administrative services, suggesting improvements to optimize workflow and patient experience.
• Coordinate administrative support for clinical staff and ensure seamless communication between medical and administrative teams.
• Coordinate the management, security, and confidentiality of patient records in compliance with applicable privacy legislation.
• Manage inventory control of medical and office supplies and train and supervise staff responsible for these functions.
• Coordinate maintenance of clinic facilities and equipment, as required.
• Prepare reports for management and provide recommendations on staffing, administrative processes, and operational improvements.

REQUIREMENTS:

• Completion of secondary school
• A college diploma in administrative services, business administration, records management, or a related field is an asset
• 1+ years of experience in a similar capacity
• Strong communication and interpersonal skills
• Highly organized and detail-oriented
• Good English language skills

CONDITIONS OF EMPLOYMENT:

• Permanent, full-time position
• $36.10 per hour
• A minimum of 30 hours of work per week
• Benefits: monthly wellness day off
• Overtime pay ($54.15/ hour) applies after 44 hours of work per week
• Location of work: 1120 Finch Avenue West, Suite 105, Toronto, ON M3J 3J5
