Job Description:
We are hiring an experienced Administrative Officer to strengthen internal coordination, standardize processes, and support the company’s expanding service operations.

Job Type: Full-time, Permanent
Job Details:
Wage: $37.00 per hour
Hours: 35 hours per week (52 weeks/year)
Start Date: As soon as possible

Job Duties:
Oversee the day-to-day administrative flow of staffing operations, ensuring candidate placements, client requests, and internal processes are properly coordinated and tracked
Develop and refine internal procedures for handling recruitment documentation, employee onboarding records, and service agreements to improve consistency and efficiency
Coordinate between recruiters, account managers, and clients to ensure timely processing of job orders, placement updates, and workforce deployment schedules
Monitor administrative workload across different functions and adjust priorities to ensure urgent staffing requests and client needs are handled promptly
Maintain and organize records related to worker placements, contracts, timesheets, and compliance documentation, ensuring accuracy and accessibility
Support the preparation and tracking of operational reports, including placement volumes, client activity, and service performance indicators
Assist management in reviewing workflow bottlenecks and implementing practical improvements to support business growth and service scalability
Ensure that administrative practices align with company policies and basic regulatory requirements related to staffing and employment services
Provide guidance to junior administrative staff on document handling, data entry standards, and internal procedures
Act as a central coordination point to resolve routine administrative issues arising from client service, worker scheduling, or documentation gaps

Employment Requirements:

Education:
Secondary school diploma required
Additional training in business administration or related field is an asset
Experience:
Minimum 2 years of administrative, coordination, or office management experience ; Experience in staffing, recruitment, or service-based business environment preferred
Skills:
Strong organizational and coordination ability
Ability to manage multiple ongoing processes simultaneously
Clear communication with both internal teams and external clients
Proficiency with office systems and record management tools
Practical problem-solving mindset with attention to detail
