Tasks:
- Efficiently manage daily office activities to ensure seamless operations. Schedule and coordinate appointments and meetings for the management and clients.
- Assist in the coordination and processing of real estate transactions, including the preparation and review of documents, ensuring all necessary paperwork is completed accurately and on time.
- Manage correspondence with clients, respond to inquiries, and provide updates on transaction status. Draft, proofread, and send emails, letters, and other forms of communication to clients, ensuring a high level of customer service.
- Arrange and facilitate meetings between clients, agents, lenders, and other stakeholders. Prepare agendas, take minutes, and ensure follow-up on action items.
- Manage and organize real estate documents, including contracts, agreements, and disclosures. Maintain both physical and electronic filing systems, ensuring easy retrieval and compliance with legal requirements.
- Coordinate with service providers, such as home inspectors, appraisers, and contractors, to ensure timely completion of services. Handle invoices and track expenses related to vendor services.
- Serve as the main point of contact for internal and external communications, handling complex phone calls, emails, and other correspondence, and directing them to the appropriate personnel.
- Liaise with IT support to ensure all office equipment and technology are functioning correctly. Manage office supplies and inventory, ensuring the availability of necessary materials.
- Assist in preparing reports, presentations, and other essential documents for senior management and client meetings. Gather and compile data related to real estate market trends and property listings.
- Support marketing efforts by coordinating the creation and distribution of marketing materials, such as brochures, flyers, and online listings. Assist in maintaining the company’s social media presence and website content.
- Conduct regular audits of office documentation to ensure compliance with real estate regulations and company policies. Maintain accurate records of transactions and client interactions.
- Facilitate communication between real estate agent and the head office, ensuring smooth information flow and issue resolution. Act as a liaison to ensure all parties are informed and coordinated.
- Assist in interpreting legal documents, agreements, and employment contracts.
- Manage office budgets, track expenses, and provide regular financial reports to senior management. Assist in financial planning and ensure adherence to budgetary constraints.
- Develop and implement office policies by setting up procedures and standards to guide the operations of the office and enhance operational efficiency. Ensure compliance with company policies and real estate regulations.
- Organize and assist in special events, such as open houses, client appreciation events, and team-building activities, to foster a collaborative work environment. Handle logistics and ensure events run smoothly.
