Responsibilities
Tasks:
- Draft, review, and organize immigration-related documents in compliance with IRCC guidelines, ensuring all client documentation is accurate, complete, and up-to-date for submission.
- Act as a primary point of contact for clients, managing inquiries via phone, email, and in person, and providing consistent, professional updates to foster a positive client experience.
- Schedule consultations and manage the calendar for the immigration consultant, coordinating with clients, government agencies, and other stakeholders as necessary.
- Maintain, organize, and archive detailed case files, ensuring that all required documents, notes, and communications are stored systematically and easily accessible for each case.
- Input client information and case details into Nautical Consulting’s CRM system, tracking progress and updating records to maintain transparency and accuracy in case management.
- Train clients and other users on Nautical Consulting’s custom-built CRM software as needed, providing basic guidance on navigating the system to access case information and track status updates.
- Coordinate interdepartmental meetings and collaborate with team members to ensure seamless communication and collaboration on complex cases or high-priority projects.
- Monitor all case deadlines and follow up with clients, consultants, and IRCC, ensuring timely submission of documents and flagging important dates to relevant team members.
- Provide administrative support for complex cases by assisting with the compilation, verification, and organization of documents, ensuring alignment with specific immigration requirements.
- Perform general office tasks such as filing, scanning, copying, faxing, and mailing documents, managing both digital and physical records for compliance and efficiency.
- Manage office inventory, order supplies, and track office needs to ensure that all resources are available for day-to-day operations.
- Arrange courier services and handle document delivery logistics, ensuring secure and timely transportation of sensitive materials.
- Conduct research to stay updated on any changes to immigration forms, policies, or procedures, applying this knowledge to enhance accuracy in document preparation.
- Assist in the client onboarding process by gathering initial documentation, explaining requirements, and offering guidance on system navigation and case submission.
- Generate and prepare reports, summaries, and other documents for internal or client use, as needed, using data from the CRM to provide valuable insights into case progress and client satisfaction.
- Assist in preparing presentations, materials, or informational guides for clients or prospective clients who may be interested in using Nautical Consulting’s CRM for their own immigration case management needs.
- Ensure compliance with confidentiality requirements and data protection standards, particularly concerning sensitive client information managed within the CRM and other internal systems.
