Job Description:
Administrative Assistant – C&Y PMP Construction (12428971 Canada Inc.)
Reports To: Office Manager
Job Location: Summerside, PEI
Employment Type: Full-Time
Working Hours and Wage: 35 hrs/week, $20 per hour, 5 days a week

Job Summary:
The Administrative Assistant provides critical support to the construction company’s daily operations by handling clerical tasks, coordinating communications, and ensuring smooth office functions. This role requires strong organizational skills, attention to detail, and the ability to work in a fast-paced industrial environment.

Key Responsibilities:
Office Administration & Documentation
- Manage incoming and outgoing correspondence (emails, phone calls, mail).
- Maintain and organize files, records, and reports (production logs, inventory, personnel documents).
- Assist in preparing presentations, memos, and meeting minutes.
Scheduling & Coordination
- Schedule meetings, appointments, and plant tours for management and visitors.
- Coordinate with vendors, suppliers, and shipping/receiving departments.
- Liaising with HR/Payroll and assist in employee shift scheduling and timekeeping and payroll preparation
Inventory & Supply Support
- Track office and breakroom supplies, place orders as needed.
- Assist with basic procurement tasks, such as purchase orders, invoice processing, etc.
Health & Safety Compliance
- Help maintain safety records and documentation, such as training logs, incident reports.
- Distribute safety bulletins and announcements to staff.
Visitor & Employee Support
- Greet visitors, issue temporary badges, and ensure compliance with site security protocols.
- Assist new hires with onboarding paperwork and orientation logistics.
Job Requirements:
High school diploma or equivalent (Associate’s degree in Business Administration preferred)
2+ years in an administrative role (manufacturing or industrial setting a plus).
Proficiency in MS Office (Word, Excel, Outlook) and basic ERP systems.
Familiarity with inventory or production software (e.g., SAP, Oracle) is an asset.
Excellent communication and multitasking abilities.
Strong attention to detail and problemsolving skills.
Ability to work independently and in a team environment.
