Tasks:
- Handling phone calls, emails, and inquiries from clients, suppliers, and staff, ensuring all communications are promptly addressed and accurately documented.
- Organizing and scheduling appointments, meetings, and project timelines, coordinating with field teams to ensure projects remain on schedule.
- Preparing, organizing, and maintaining important office documents, including project files, contracts, permits, and regulatory documents.
- Assisting in invoicing clients, processing payments, tracking accounts receivable and payable, and supporting basic bookkeeping functions.
- Entering project details into management systems, tracking progress, and ensuring all project records are up to date for team use.
- Ordering office supplies, managing vendor relationships, and maintaining an organized inventory system to support efficient office operations.
- Helping prepare paperwork and submissions for permits, licenses, and regulatory compliance documentation required for ongoing
projects.
- Assisting with onboarding new employees, tracking attendance, maintaining personnel records, and ensuring new team members are integrated smoothly.
- Assisting in creating regular reports, presentations, and documentation required for meetings, project updates, and internal records.
- Ensuring the office environment remains clean, organized, and conducive to efficient workflow by maintaining office supplies and documentation systems.
