Position Overview:
We are looking for a highly organized and dependable Administrative Assistant to support our team and contribute to the overall success of our organization. The Administrative Assistant will be responsible for performing various administrative and clerical tasks, ensuring the smooth operation of the office, and providing excellent service to internal teams and external clients.
This position requires a motivated individual with strong communication skills, attention to detail, and the ability to handle multiple tasks simultaneously. The successful candidate will be a proactive problem solver with the ability to manage time effectively and work independently when needed.
Key Responsibilities:
General Administrative Support:
Provide administrative support to executives and team members as needed.
Handle scheduling of meetings, appointments, and travel arrangements.
Prepare and edit correspondence, reports, and presentations.
Answer and direct phone calls, emails, and other forms of communication.
Maintain and update office files, both electronic and physical.
Order office supplies and manage inventory.
Office Management:
Ensure the office is stocked with necessary supplies and that all equipment is in good working condition.
Coordinate office maintenance and liaise with external vendors
Organize and maintain a safe and efficient filing system for documents.
Customer Service & Communication:
Greet visitors and clients, ensuring they are well taken care of and directed to the appropriate personnel.
Assist clients and customers via phone, email, or in-person, ensuring a high level of satisfaction.
Respond to general inquiries and provide relevant information to the public.
Data Entry & Record Keeping:
Enter data into systems, spreadsheets, and databases accurately and in a timely manner.
Maintain accurate records of meetings, appointments, and activities.
Handle confidential information and maintain discretion at all times.
Event Coordination:
Assist in planning and organizing company events, meetings, and conferences.
Coordinate logistics for meetings, such as booking venues, arranging refreshments, and preparing materials.
Document Preparation and Management:
Prepare and proofread documents, presentations, and reports for meetings and internal communications.
Assist in creating internal newsletters, reports, or updates for company stakeholders.
Assist with document management, including digital and physical filing systems.
Team Collaboration:
Work collaboratively with team members to ensure administrative functions run smoothly.
Provide backup support to colleagues during periods of absence or high workload.
Other Duties:
Perform other duties as assigned by supervisors or management.

High school diploma or equivalent (required).
Associate’s degree or higher in office administration or related field (preferred).
Experience:
Previous experience in an administrative or office support role is a plus.
Experience using office equipment, such as printers, copiers, and fax machines.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) or similar software.
Experience with office management tools and document management systems is a bonus.
Communication Skills:
Strong verbal and written communication skills.
Excellent phone etiquette and ability to interact with clients, colleagues, and visitors professionally.
Organizational Skills:
Strong attention to detail with a high level of accuracy in completing tasks.
Ability to prioritize and manage multiple tasks in a fast-paced environment.
