Administrative Assistant Job

A&J Chartered Professional Accountants are looking for a full time Administrative Assistant for 418 Iroquois Shore Rd., suite 204, Oakville ON L6H 0X7 Canada. There is 1 position available.

Main duties and responsibilities are as follows but not limited to:

• Prepare, key in, edit and proofread correspondence, invoices, presentations, brochures, publications, reports and related material from machine dictation and handwritten copy
• Open and distribute incoming regular and electronic mail and other material and coordinate the flow of information internally and with other departments and organizations
• Schedule and confirm appointments and meetings of employer
• Order office supplies and maintain inventory
• Answer telephone and electronic enquiries and relay telephone calls and messages
• Set up and maintain manual and computerized information filing systems
• Determine and establish office procedures
• Greet visitors, ascertain nature of business and direct visitors to employer or appropriate person
• Record and prepare minutes of meetings
• Arrange travel schedules and make reservations
• Compile data, statistics and other information to support research activities
• Supervise and train office staff in procedures and in use of current software
• Organize conferences.

Hours of work are 30 hours per week Mon-Fri (overtime paid after 44 hours/week). Pay is $57,000 for the year. Successful candidates will speak English. Completed post-secondary (certificate or at a college level) in a related field is required. Minimum work experience is 6 months hands on experience.
