Lakeview Millwork Ltd. has an immediate opening for Administrative Assistant (NOC: 13110) at our location in Mississauga, Ontario.
As a Administrative Assistant, you will perform some or all of the following duties:
• Receive, review, and distribute incoming mail and emails, ensuring information flows smoothly within the office and between departments or external partners.
• Schedule and confirm meetings, appointments, and other engagements for management or team members.
• Manage office supplies — place orders, track usage, and maintain inventory levels.
• Handle phone calls and emails, respond to inquiries, and forward messages to the appropriate person or department.
• Create and maintain both digital and physical filing systems to ensure records are organized and accessible.
• Develop and implement office procedures to improve efficiency and organization.
• Welcome and assist visitors, determine the purpose of their visit, and direct them to the appropriate person.
• Take, record, and prepare meeting minutes and summaries.
• Arrange business travel plans, including booking flights, accommodations, and transportation.
• Gather and organize data, statistics, and other information to assist with research or reporting.
• Train and supervise office staff on administrative procedures and software tools when required.
• Prepare, type, edit, and proofread letters, invoices, presentations, brochures, reports, and other documents from handwritten notes or voice recordings.
• Coordinate and help organize meetings, workshops, or conferences.
Qualifications:
• Completion of secondary school is required.
• 1 to 2 years of experience in administrative assistants or secretaries or previous clerical experience is required.
• Work with minimal supervision, Able to work in Fast-paced environment, proven analytical skills with the ability to tackle problems systematically to diagnose issues and produce effective recommendations.
• Accurate, Multi-tasker, attention to detail, Organized, Manual dexterity, Team player, Punctual, Standing for extended periods and effective time management.
Terms of employment: Permanent, Full time (30-40 hours/week)
Compensation: CA $ 36.00/hour
