As an Administrative Assistant, you will perform all or some of the following duties:
• Record and prepare minutes of meetings, seminars, and conferences.
• Train other workers
• Determine and establish office procedures and routines.
• Schedule and confirm appointments.
• Answer telephone and relay telephone calls and messages.
• Answer electronic enquiries.
• Compile data, statistics, and other information.
• Order office supplies and maintain inventory.
• Arrange travel, related itineraries and make reservations.
• Greet people and direct them to contacts or service areas.
• Open and distribute regular and electronic incoming mail and other material and co-ordinate the flow of information.
• Set up and maintain manual and computerized information filing systems.
• Type and proofread correspondence, forms, and other documents.
• Assist a Regulated Canadian Immigration Consultant (RCIC) in preparing and submitting immigration applications to IRCC, including Express Entry, LMIA, PNPs, visitor visas, study/work permits, and family sponsorships.
• Collect, organize, and review client documents to ensure completeness and compliance with IRCC requirements.
• Communicate with clients to provide status updates, request additional information, and clarify immigration procedures.
• Schedule consultations, biometrics appointments, and medical exams for clients as part of the immigration process.
• Provide administrative support including invoicing, client intake, and email/phone correspondence in a fast-paced immigration office.
Education Requirements: Secondary (high) school graduation certificate or
equivalent experience
Experience: 7 months to less than 1 year
Terms of employment: Full Time / Permanent (30 to 35 hours / week), Paid Vacation
Compensation: CAD $36.10 /hour
