Tasks :
- Handling incoming and outgoing calls, emails, and correspondence, ensuring timely and effective communication with clients, suppliers, and internal team members.
- Coordinating appointments, meetings, and events across multiple Chevron locations, maintaining the management team's calendar, and arranging necessary resources.
- Preparing, formatting, and distributing various documents, including reports, memos, and presentations. Maintaining organized and accurate electronic and physical filing systems for quick access and record-keeping.
- Assisting in tracking inventory levels, coordinating restocking schedules, and documenting deliveries to support smooth logistics across locations.
- Managing invoicing, processing payments, tracking expenses, and coordinating with the finance team to ensure accurate record-keeping and compliance.
- Assisting in staff scheduling, coordinating shift changes, and supporting new hire onboarding processes, ensuring all locations are adequately staffed.
- Coordinating with suppliers, tracking orders, and managing delivery timelines to maintain consistent stock levels in all locations.
- Addressing client inquiries, managing complaints, and providing support to maintain high levels of client satisfaction across all Chevron locations.
- Assisting the management team with miscellaneous administrative tasks as needed, such as preparing reports, organizing travel arrangements, and supporting other operational needs.
- Ensuring compliance with company policies and industry regulations by updating and distributing necessary compliance documents, training materials, and procedural guidelines.
- Monitoring office supplies and coordinating restocking efforts to keep the office and service areas fully stocked with essential items.
- Preparing weekly and monthly administrative and logistics reports to update management on current operations, identifying areas for improvement and efficiency. - Supporting digital and paper record maintenance by scanning, archiving, and categorizing documents for ease of access and historical accuracy.
- Managing and updating internal databases with client, supplier, and inventory information to ensure accurate data tracking and reporting across all company locations.
