Tasks:
- Manage client communication by answering phone calls, responding to emails, and handling inquiries in a timely and professional manner.
- Schedule appointments and coordinate meetings between clients, project managers, and the carpentry team to ensure efficient project timelines.
- Prepare and process invoices, track payments, and maintain accurate financial records, including following up on outstanding invoices.
- Prepare and organize necessary documents, contracts, and quotes for clients while maintaining an organized filing system for both digital and physical records.
- Oversee office management tasks, such as ordering supplies, organizing the workspace, and coordinating with vendors to ensure smooth office operations.
- Assist with project coordination by tracking timelines, updating project statuses, and ensuring all required documentation is completed on time.
- Support the management team with general administrative tasks such as data entry, generating reports, and other clerical duties as required.
- Maintain effective communication with internal teams to ensure all administrative tasks are completed efficiently and on schedule.
- Handle customer service tasks, including addressing any issues or complaints and ensuring a high level of customer satisfaction.
- Assist in preparing marketing materials and correspondence, such as company newsletters, client follow-ups, and promotional documents.
- Maintain an organized calendar for management, ensuring meetings and deadlines are tracked and reminders are set.
- Coordinate travel arrangements for team members or management as needed, including booking accommodations, flights, and transportation.
- Help prepare for company events, meetings, or presentations by organizing materials and managing logistics.
- Assist in monitoring inventory levels of materials used in cabinetry projects and coordinate withthe purchasing department to ensure timely reordering.
