Job Description:
We are hiring two administrative assistants in shifts who will be responsible for our office procedures and documentation. Preferred candidates will have at least a bachelor’s degree with a minimum of one year of experience in office administration. To succeed in this role, you will need excellent communication, organization, and leadership skills. Additional language in Mandarin is an asset.

Type: Full-time, permanent
Compensation: $25 per hour for 30 hours per week

Main Responsibilities and Duties:
Establish and implement company policies and office procedures in the Burnaby Office
Create standard and effective working procedures for employees
Answer telephone and email inquiries, receive mails, and respond to clients' inquiries
Acquire office supplies such as pens, toners, printing papers, etc.
Prepare meetings and keep records, write meeting minutes
Compile company working data for management review
Arrange travel and itineraries for the management
Coordinate work between salespersons, case processors, contractors, and clients
Arrange work shifts and schedules for employees and contractors
Make assignments to case contractors and monitor case progress
Prepare contracts and invoices for clients and contractors
Assist in payroll administration and simple bookkeeping
Conduct research, learn immigration policies, and collect data for marketing promotion
Assist in designing messages and images and other marketing campaigns and activities
Assist in organizing marketing activities, seminars, live-streams, and other public events
Knowledgeable about social media and assist in social media marketing

Job Requirements:
A Bachelor’s Degree in business or communications
Minimum one year experience in office administration
Able to work in shifts and during weekends
Excellent verbal and written communication skills
Leadership and communication skills
Ability to multitask, prioritize, and manage time efficiently
Chinese Mandarin is an asset
Knowledgeable about social media: WeChat, TikTok, Little Red Book, Google, YouTube, Facebook, etc.
