Tasks:
- As an administrative assistant for Iskcon Trading Inc., you will be maintaining a well-organized and welcoming office environment by managing office supplies, equipment, and facilities. Ensure that the office is conducive to productivity and professionalism
- You will be serving as a central point of contact for internal and external communications, promptly relaying important messages and assisting Supervisors with daily administrative tasks.
- The Administrative Assistant will coordinate appointments, meetings, and conferences for Iskcon Trading Inc's executives and staff, ensuring effective time management and scheduling conflict prevention.
- You will organize and maintain documents, reports, and presentations using appropriate software for easy retrieval, both physically and digitally.
- Input and update information accurately into databases, spreadsheets, and company systems, ensuring data integrity and up-to-date records.
- Provide comprehensive administrative support to various departments, including routine tasks, record management, and document preparation.
- Organize meetings by handling logistics, creating materials, capturing meeting minutes, and distributing relevant information to participants.
- You will be greeting clients, partners, and visitors professionally, directing them to appropriate personnel or departments to ensure a positive experience.
- As an Administrative Assistant at Iskcon Trading Inc., you will draft, edit, and proofread various correspondence, including letters, emails, and memos, maintaining accuracy and adherence to company standards.
- Assist in tracking and reconciling expenses by maintaining accurate records and contributing to expense reporting processes.
- Handle sensitive information and documents with discretion, maintaining confidentiality across all matters.
- Collaborate with colleagues to coordinate tasks and projects, ensuring smooth execution and timely completion.
- Perform clerical duties, including maintaining contact information, files, and databases, fostering organized information management.
- Establish effective relationships with internal stakeholders, serving as a liaison between employees, and HR/Payroll for issue investigation and feedback compilation.
- Track, analyze, and update information in internal systems and databases, ensuring accuracy and consistency.
- Support Human Resources activities, including onboarding new hires, vacation and leave tracking, and compiling workforce requests for approval and submission.
- Monitor departmental costs compared to budget and contracts, reviewing cost codes, purchase requests, and purchase orders for accuracy.
- Undertake additional duties as assigned to contribute to operational efficiency and organizational growth.
