Tasks:
- Managing and organizing daily communications by screening emails, answering phone calls, and directing inquiries to the appropriate departments for timely responses.
- Assisting with scheduling and coordinating meetings, preparing agendas, and ensuring necessary documents and materials are ready for team and client meetings.
- Maintaining accurate and organized filing systems, both digital and physical, to streamline access to important records and documentation.
- Preparing and editing internal reports, spreadsheets, and presentations for management review and client communications.
- Processing invoices, managing office supply inventory, and coordinating orders to maintain adequate stock and support day-to-day office operations.
- Assisting the logistics team with documentation and tracking of shipments, ensuring compliance with regulatory requirements.
- Supporting data entry and record-keeping for inventory, operational metrics, and quality control processes.
- Maintaining a clean and organized office environment, coordinating with vendors for equipment maintenance and repairs as needed.
- Providing general administrative support to management and operations staff, contributing to smooth workflow and operational efficiency.
- Assisting in the preparation of customs, import, and compliance documents, supporting seamless import operations.
- Preparing expense reports and managing petty cash records, ensuring accuracy in financial documentation.
- Coordinating travel arrangements and accommodations for management and team members, including preparing itineraries and tracking expenses.
- Supporting onboarding for new employees by preparing orientation materials, arranging workstation setups, and assisting with HR documentation.
- Handling confidential information with discretion, including employee records, business contracts, and financial reports.
- Assisting with company-wide communications, including drafting internal memos, employee announcements, and client notifications.
- Monitoring office equipment and coordinating maintenance schedules, ensuring minimal disruptions to daily operations.
