Position: Administrative and Technical Coordinator
Duration/Type: Full Time
Location: 10 Kennedy Rd S, Brampton, ON L6W 3E1
Salary: $36.54 per hour–The gross salary paid is subject to applicable Federal and Provincial income taxes and other statutory deductions.
Vacation: 4% of gross salary
Hours of Work: 30-35 hours a week; Overtime rate (X1.5) applicable after 44 hours of work per week
Position Summary:
This dual role of an Administrative and Technical Coordinator will support front-office operations and ensure smooth clinical workflow by coordinating patient intake, scheduling, billing procedures, electronic claims submission, and the integration/maintenance of dental software systems. The role requires strong competency in dental insurance protocols, CDAnet/eClaims systems, and practice management platforms to ensure accurate records, compliance, and efficient patient service.
Key Duties & Responsibilities
• Operate dental office software systems including ABELDent, MaxAssist, or CDR DICOM to manage scheduling, billing, and digital radiography.
• Manage appointment scheduling, create and maintain organized patient charts and digital health records in accordance with PHIPA and RCDSO privacy requirements.
• Coordinate communication between dentists, hygienists, assistants, labs, and suppliers.
• Prepare treatment estimates, present financial options, and obtain signatures for consent and pre-authorizations.
• Manage CDAnet/eClaims submissions via ITRANS 2.0 including eligibility, predeterminations, coordination of benefits, and resubmissions.
• Track claim responses, reconcile payments with EOBs/ERAs, and identify discrepancies for correction.
• Investigate and troubleshoot rejected claims and assist with software or transmission errors.
• Configure and maintain user access, appointment types, billing codes, fee guides, insurance tables, and templates.
• Assist with installation, updates, troubleshooting, and coordination with technical vendors.
• Monitor system performance and resolve technical issues to minimize downtime and disruptions across all locations.
• Maintain and update the practice website, including hosting, domain management, security, performance optimization, and integration with online booking or patient forms.
• Install, configure, and deploy new hardware, including computers, servers, networking equipment, and dental imaging devices.
• Train staff on software usage and maintain workflow SOPs for digital systems.

Job Requirements:
• Minimum 1–2 years of dental administrative/claims coordination experience, including CDAnet/eClaims (ITRANS 2.0) submissions, reconciliation, and troubleshooting.
• Proficiency using dental practice software including ABELDent, MaxAssist, and CDR DICOM; ability to configure scheduling, billing/insurance tables, fee guides, and system settings.
• Strong understanding of insurance billing protocols, COB rules, deductibles, pre-authorizations, EDI transmission workflows, and reconciliation of remittances/EOBs.
• Prior experience in a technical role and proven ability to provide internal user support, diagnose and resolve software issues, rectify transmission/software bugs, and coordinate with vendors/IT for escalated technical matters; working knowledge of MS Office, network printers/scanners, and data backups.
• College level diploma Information Technology, or a related field is required.
• Strong English language proficiency to communicate effectively with patients, insurers, and staff at all levels.
