Job Description:
• Receive and review customer purchase orders, enter order details into internal systems(EP Lite, POSPIA Mini 3.0), and confirm order specifications, quantities, pricing, and delivery requirements to ensure accurate order setup;
• Coordinate with production teams to support the scheduling and processing of customer orders by confirming order details, timelines, and requirements;
• New business development, proactively identify and research new business opportunities and potential customers;
• Track order progress throughout the production and fulfillment process, and communicate updates or issues to internal teams and customers to support timely delivery;
• Use enterprise resource planning (ERP) systems, including POSPIA or similar platforms, to monitor order status, inventory levels, and production data, and update records to maintain data accuracy;
• Coordinate logistics activities, including scheduling shipments, confirming transportation conditions, and preparing necessary documentation to support timely and accurate product delivery;
• Support inventory monitoring activities by reviewing stock data and coordinating with relevant teams to help maintain appropriate inventory levels;
• Assist in invoicing and financial processes by reviewing delivery terms, pricing, and quantities, and supporting billing accuracy during the financial closing process;
• Support accounts receivable activities by tracking payments, following up on outstanding balances, and communicating with customers regarding billing-related matters;
• Coordinate with sales, production, logistics, and finance teams to address order-related issues and support efficient workflow across departments;
• Communicate with headquarters by providing operational updates, responding to reporting requests, and supporting alignment with internal procedures and company guidelines;
Job Requirements:
- Bachelor’s degree in Business Administration, Supply Chain Management, Accounting, or a related field
- Knowledge of order processing, inventory coordination, and basic supply chain operations within a manufacturing or distribution environment
- Experience or familiarity with enterprise resource planning (ERP) systems for order management, inventory tracking, or production coordination (experience with POSPIA or similar systems preferred)
- Ability to review and verify order details, pricing, and delivery terms to support accurate order processing and billing
- Strong attention to detail with the ability to maintain accuracy in data entry, reporting, and financial documentation
- Ability to coordinate and communicate effectively with multiple departments, including sales, production, logistics, and finance teams
- Strong organizational and time management skills with the ability to handle multiple orders and tasks simultaneously
- Ability to communicate professionally with customers and internal teams regarding order status, delivery updates, and billing-related matters
