Job Description:
We are looking for an Office Assistant to administer, organize, and coordinate a variety of administrative duties and office procedures. A successful Office Assistant should have an upbeat personality, basic accounting skills, experience with and administering a variety of software programs (QuickBooks Desktop, Outlook 365, Excel, and CRMs, VOIP Software), and be able to accurately handle a variety of administrative duties. The ideal person for this job will be able to effectively communicate with a diverse group of individuals. This position will report the to the office manager and will focus primarily on office tasks and procedures and less on management of others. Office Administrator Functions:
Process daily invoices
Answer phones.
Take customer orders and prepare orders for production.
Process customer credit applications.
Review and approve weekly company credit card expenses.
Monitor Accounts Receivable.
Assist with Inventory Reporting
Filing.
Assist with data entry as needed
Act as a back up to the Office. Administrator and Financial Specialist as needed.
Complete tradeshow paperwork and coordinate shipping.
Prepare catalogs and miscellaneous items for mailing as requested from customers.


Job Requirements:
Qualifications:
Associate degree in Business Administration, or Accounting is a plus
Experience with QuickBooks Enterprise, Microsoft Office, and Outlook 365 is a plus
Strong verbal and written communication skills along with outstanding interpersonal skills
Self-motivated with strengths in time management, organization and attention to detail
Ability to handle conflict and perform comfortably in a changing, fast paced environment
Must be a team player: We value teamwork, a positive attitude and the willingness to do what is needed for our customers and our business.
