Reporting to the Chair of the Department of Interactive Media in the School of Communication, with a dotted-line reporting relationship to the Executive Director, Business Operations, the Sr. Program Coordinator oversees operations and provides administrative support for the department.

Duties and Responsibilities



  • Program Coordination: Serves as a liaison to faculty, students and other University units, facilitates collaboration between the department and other units in support of the department's and School's goals. Responds to student inquiries, including but not limited to general program information, registration forms, internships, and student organizations, and provides additional assistance as needed. Identifies problems and opportunities within operations of the department, makes recommendations and implements changes as appropriate. Plans and coordinates department meetings, events, functions, and special projects as assigned. Reconciles financial reports each month to ensure that expenditures on all accounts do not exceed budgeted levels. Works with program chair to identify alternative sources of and/or to request funds. Assists with budget development, monitors monthly budget summaries for review with Chair. Assists with faculty recruitment, reappointment, promotion and tenure, and with visiting scholars. Coordinates all personnel actions and paperwork for the department, including the hiring and processing of payroll for part-time faculty and for student workers. Supervises student employees.

  • Administrative Support: Manages office service activities such as reception, guest parking, telephone, mail, fax and copying/scanning equipment. Provides administrative support to faculty, students, and guests of the department. Assist in the preparation of travel arrangements. Handles purchasing, reimbursement, credit card and interdepartmental transactions for the department, including management of the purchase, receipt and storage of office supplies. Serves as the departmental liaison with facilities administration and housekeeping to ensure that departmental facilities are appropriately maintained.

  • Interactive Media Department-specific tasks include: Coordinates large-scale department initiatives, includes the end of year activities, guest speakers, graduate student orientation, workshops, and conferences. Manages department Steam account and new game purchases. Maintenance and monitors of social media accounts and listserv. Generates reports for online ad runs. Basic updates of website as needed. Assists with department student organizations. Schedules graduate advising activities. Assists with graduate recruiting efforts.

  • Other duties as assigned


Education and Experience



  • High school diploma or equivalent. Five (5) years of progressive work experience.


Skills



  • Microsoft Office (Word, Excel, PowerPoint).

  • Able to assess, organize and prioritize multiple tasks and projects.

  • Strong written and verbal communication, ability to communicate with all levels of employees

  • Customer service orientation
