Job Description:

This position monitors sponsored research accounts from award set up through closeout while adhering to organizational, state and federal policies. This position plays an important role in pre-award processes and in post-award compliance to ensure that budgets are not overspent, grant periods are adhered to, and costs are allowable under the grant and accounting records are maintained in good order and for the proper time.

Primary Duties and Responsibilities:

  • Consults with PIs before a grant submission and discusses the necessary steps to submit the grant proposal.

  • Budget development - works closely with PI, manager of sponsored programs and executive director of business operations to ensure proper development of budget and ensure the budget narrative is accurate and reflects the developed budget.

  • Grant applications (Research, Program, and Scholarship Grants), including gathering data and/or program applications, and assembling applications (work with grants.gov/Workspace application). Assists PI if error exists or additional information is required.

  • Works with research administration to ensure proper processing of grant submission and proposal package including all supporting documents in compliance with university policies.

  • Tracking of all sponsored awards as received, including responsibility for review and interpretation to the faculty member of all award terms and conditions, with special attention to reporting requirements of the investigator.

  • Sponsored accounts maintenance (cost transfers, Payroll Accounting Adjustment, costing allocations, re-budgeting, etc).

  • Reconciles sponsored and project accounts (actual expenditures vs. budget), assists with quality assurance review, evaluation of actual expenditures in compliance with federal and university policies.

  • Interprets regulations and assists faculty investigators and administrators in understanding sponsored programs requirements.

  • Process payments, reimbursements, purchase requisitions in Workday, and may assist with effort certification on sponsored programs.

Knowledge, Skills, and Abilities:

  • Experience in pre- and post-award management.

  • Knowledge of Info-Ed, electronic proposal submission to federal and other agencies (Fastlane, Grants.gov and Workspace, etc.)

  • Knowledge of organizational on-line transactions systems.

  • Strong interpersonal skills, including ability to function as a member of a team.

  • Effective communications skills, both oral and written.

  • Strong analytical and decision-making skills.

  • Ability to work independently.

  • Detail oriented and strong time management.

Education Requirements (Essential Requirements):

  • Bachelor's degree preferred in management, accounting, finance or related field.

Work Experience Requirements (Essential Requirements):

  • Minimum 3 years relevant experience.
