The Finance department is seeking an energetic and results-oriented Executive Administrative Assistant to join our team in New York! This position is responsible for providing full administrative support to the Chief Accounting Officer as well as the Head of Investor Relations. Responsibilities include but are not limited to:

Composes correspondence and documents of a highly confidential nature.
Notes commitments made by the executive during meetings, and arranges for staff implementation.
Arranges and coordinates travel and meeting schedules.
May prepare agendas and meeting briefings for the executive.
Summarizes contents of incoming materials requiring knowledge of technical matters.
Act as a project manager for special projects, which may include: planning and coordinating multiple presentations, disseminating information, and organizing companywide events.
Organizing hospitality or other events sponsored by the executive, tracking and coordination of expenses, basic administration of the budget for the function.
Organize and prioritize large volumes of information, inquiries, requests and phone calls.
Assists with business planning and initiative implementation.
Prepares Chief Accounting Officer and/or Head of Investor Relations for day-to-day activities and manages key initiatives designed to achieve stated business objectives and enhance operational efficiencies.
Responsible for planning and developing content for meetings with executive's business areas.
Responsible for preparing communications for various business reviews and articles.
Ability to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands
Ability to facilitate meetings and communicate results to project teams and management

Minimum Qualifications:

Associate Degree
6-8 years of executive administrative experience

Preferred Qualifications:

Adept at using Microsoft Office Software (Word, PowerPoint and Excel)
Have a high level of interpersonal skills to handle sensitive and confidential situations
Demonstrated professionalism, poise, tact and diplomacy
Ability to interact with individuals at all levels of the organization
Strong organizational, attention to detail and time-management skills
Able to perform duties independently, with minimal or no direct supervision
Ability to work under pressure of deadlines, yet still ensure timeliness and accuracy
Ability to facilitate meetings and communicate results to project teams and management
Demonstrated expertise in good judgement.
