Job Description:

Do you have over 1 year of experience supporting VIPs in a company such as the Presidential Chairman? We are looking for an experienced Administrator to join one of the fastest-growing companies within the Banking Consulting industry within the heart of Toronto! Within this role, you will be the Executive Assistant to the CEO.

Job Purpose
Provides administrative services to the Chief Executive Officer ensuring the flow of administrative operations and helping the department achieve its goals and priorities. May carry out and coordinate special assignments and tasks as directed and provides guidance on administrative functions, office procedures and corporate policies.
This position will be split between in-office and remote from home.
Accountabilities
PROVIDE ADMINISTRATIVE SUPPORT TO THE CEO: Assist in the daily operations, planning, implementing, Coordinate, schedule and organize the CEO calendar, appointments, meetings, filing system, events, conference calls, and special projects. Prioritize and respond to calls, requests or inquiries from various Clients, including CEO and ensure that requests for action and appropriate information are delegated, acted on and replied to in a timely manner.
MANAGE INFORMATION AND DOCUMENTS: Research, produce, monitor, track, update and maintain confidential and sensitive information and documents, including contracts, emails, records, spreadsheets, lists, files, letters, forms, charts, memos and minutes, to brief; provide follow-up and updating as required. Review, sort, evaluate, coordinate, prioritize, and prepare information, correspondence, and reports.


Job Requirements:
Ability to use standard office equipment such as personal computers/laptops, photocopiers, fax machines, shredders, cellphone, scanners, etc., and office automation software such as word processing applications, presentation software, spreadsheet or database packages, email systems, internet browsers etc.
Knowledge of Adobe InDesign 6 (asset)
Planning and Organizing skills to organize, prioritize and, where applicable.
Exceptional written and oral skills to document & communicate contentious issues
Ability to collect record and maintain accurate, detailed, relevant and logical notes, files, and information.
Prior Banking Experience gets bonus points!
Education
Minimum Completion of a diploma in a related discipline (Office Administration) or a combination of education, training, and experience deemed to be equivalent.
