About This Position

The University of Miami, Miller School of Medicine's Department of Public Health Sciences has an exciting career opportunity for a Manager, Sponsored Programs. This position is responsible for managing all pre-award activities and assisting with post-award activities for the portfolio of grants and contracts,using knowledge of grant and contract management rules and regulations, technical expertise, and analytical skills. Handles the day-to-day operations and objectives in support of the assigned portfolio. Contributes information and ideas related to area of responsibility in development of division/department/school-wide strategy and operational initiatives. Ensures effective and efficient work flow and adherence to quality standards for program and self.

The duties and responsibilities for this position are as follows:

  • Administers and coordinates functions to assist faculty members with the day to day financial operation and management of research awards

  • Works closely with Sponsored Programs office, Office of Research Administration, to establish and monitor awards in line with funding Agencies and University rules and regulations

  • Interprets rules as they apply to Sponsored Programs Policies and Regulations for the preparation and submission of cost transfer, F & A rates, financial reports, re-budgeting, no cost extensions, close-out procedures

  • Reconciles grant accounts in the University financial ledger system using DMAS reports and the department's accounting systems

  • Ensure projects awarded are completed until account set up

  • Will be responsible for the transfer of grants for all new department faculty. Will be responsible to work with new faculty and the onboarding of their research teams as is related to but not limited to; Animal Transfers, Specimen Transfers , Equipment Transfers and seeing approval from different University Offices such as ; IRS, Tech Transfer, HSRO and others

  • Ensure efficient and effective operation of the department and day-to-day direction of research support functions.

  • Monitors account activity against account budgets, salary papers, DMAS and Workday

  • Reviews monthly account reconciliations and forwards to faculty members; especially as they are related to NCE's, and Ipars

  • Complete IPAR and justification memo and submit orders in Workday

  • Responsible for support of various research programs and solving any problems as they arise

  • Oversees research efforts in several research grants and ensures funding is available

  • Handle paperwork and submission of establishing sub-contracts and consulting agreements to awarded

  • Monitors budget and identifies and makes recommendations for cost reduction

  • Monitors and ensures good data acquisition and data management process

  • Manages all compliance issues related to the various research grants and contracts providing information on the requirements and deadlines for deliverables and work performed

  • Responsible for management of Chair and Departmental Research Proposal portfolio

  • Responsible for managing and working with all departmental faculty, students and research staff in identifying funding opportunities. This entails putting together listserv for the department and updating departmental website with the latest funding opportunities

Minimum Qualifications

Bachelor's Degree in a relevant field of study as well as at least two to three years of related experience. Must have demonstrated leadership abilities and skills shown by successfully managing large research proposal submissions; Training Grants, Superfunds, U projects, Multi-PI proposals, Educational Grants. Excellent written and verbal communication skills and knowledge of computers are essential. Ability to multitask effectively and manage different projects simultaneously. Good interpersonal skills and customer service skills. Ability to work independently , take projects from beginning to end. Ability to demonstrate self-directed and rational problem solving skills. Ability to be very resourceful and seek guidance when necessary in order to better work with the faculty of the department in the submission of grant proposals. Ability to communicate clearly and concisely verbally and in writing. Ability to maintain effective working relationship and establish the highest level of integrity with others to coordinate work in order to meet objectives. Any relevant education, certifications and/or work experience may be considered.
