Job Description:

The Human Resources Assistant will provide administrative support to the HR Business Partners supporting the Global Credit, Corporate Private Equity, Investment Solutions and Investor Relations groups in the NY offices (both 520 Madison Avenue and 299 Park Avenue). The HR Assistant will support disciplines across the employee life-cycle at Carlyle, including but not limited to orientation, Family and Medical Leave, and immigration. This individual will be responsible for coordinating programs fundamental to the firm and for managing confidential documentation. This position must be able to prioritize assigned multiple tasks and work under pressure in a deadline oriented environment.


Orientation - 25% of time



  • Manage the coordination of all on-boarding for new hires in the New York offices including contacting incoming employees, scheduling all orientation sessions, and preparing relevant materials

  • Coordinate video conference technology with the Service Desk and confirm presenters are on track each week for their sessions

  • Create new hire binders, ensuring information is current

  • Set-up conference room for Day 1 orientation sessions

  • Serve as the point of contact for new hire gifts including inventory tracking and vendor relations

  • Answer questions from incoming employees and assist with managing new hire paperwork, following up as needed for missing documentation


Administrative Support - 25% of time

Provide administrative support to the Principal, HR Business Partner and the NY Generalist team, including:



  • Calendar management and the coordination of materials and other resources (i.e. conference rooms, technology) for meetings



  • Field incoming calls and disseminate as appropriate

  • Arrange travel and process expenses as needed

  • Assist with the preparation and revision of communications, presentations, and reports


Other Duties - 20% of time





  • Respond to HR policy-related inquiries as first point of contact for employees

  • Assist with temporary staffing requests, including IT set-up for administrative contractors and the in-house floating Executive Assistant

  • Provide key support in running programs, including administrative professionals' day and the global promotions process


Personnel Management - 15% of time



  • Process employee change requests (transfers, leave notices, terminations)



  • Assist with managing documentation for existing or exiting employees, including transfer or resignation letters and exit checklists

  • Follow up on outstanding paperwork items


Immigration - 5% of time





  • Create and maintain public access files for Carlyle sponsored immigration cases in New York offices



  • Assist with obtaining signatures on key documents and other correspondence with outside council

  • Create Invitation letters for Carlyle Sponsored events

  • Other immigration related duties as needed


Qualifications:



  • A minimum of 1+ years junior HR experience required, experience in a professional services firm is desirable

  • Excellent Microsoft Office skills (Word, Excel, PowerPoint)

  • Pleasant phone mannerism. Ability to effectively communicate with staff, internal/external executives, and outside vendors, etc.

  • Strong organizational/project management skills and detail-orientation (attention to detail a must)

  • Excellent communication skills - both written and verbal

  • Ability to maintain confidentiality when exposed to situations/information of a sensitive nature

  • Demonstrated ability to work effectively as part of a team

  • Ability to adapt and excel in a fast-paced work environment with multiple priorities

  • Flexibility to work overtime as needed

  • Bachelor's degree required, relevant field preferred.
