Manage and maintain business and personal calendars
∑ Coordinate any travel plans as the need arises
∑ Coordinate meetings and phone calls
∑ Respond to emails and draft letters
∑ Prepare conference room when needed
∑ Help owner prepare for meetings
∑ Opening, sorting and distributing mail
∑ Maintain physical and digital files
∑ Filing and retrieving information and documents
∑ Maintain contact list
∑ Provide general administrative support in a fast-paced work environment
∑ Special projects as directed
∑ Must handle all matters in strict confidentiality
∑ Must be skilled in Microsoft Office Suite (Excel, Outlook, Word)
∑ Must have excellent verbal and written communication skills
∑ Answer incoming calls, Check Messages (email and telephone) and respond accordingly.
∑ Transaction and Database management
∑ Handle and manage seller files.
∑ Coordinate paperwork/disclosures, scheduling, client care, tracking, critical dates for property sales transaction, commission requests, dates/times for signing closing docs, etc.
∑ Compile and distribute weekly/monthly reports to clients (buyers and sellers).
∑ Be the first point of contact in handling customer inquiries and concerns.
∑ Keep agents informed about challenges and issues that need to be handled.
∑ Responsible for keeping the entire team updated on the progress of all contracts and advises team members when they need to become involved in negotiations or problem resolution
∑ Ensure important tasks are executed in real-time
∑ Obsess about details to allow the executives to focus on their key priorities (lead generation, clients).
∑ Represent our company externally, serving as a great first impression and the initial point of contact
∑ Represent the team internally, managing relationships with local and national agents, community members, past clients and Compass leadership
Administrative Assistant: 2 years (Preferred)
∑ Driverís License (Required)
∑ Real Estate License (Required)
∑ Must have reliable transportation (Required)
∑ Ability to work under pressure and handle
∑ Ability to use office equipment, including copiers/scanners etc.
∑ You're a self-starter who manages your time and workload well. You know what needs to be done, and you follow through.
