Overview

The Tremè Fall Festival Sponsorship Manager will be a highly motivated, dynamic, customer service-focused individual who is proactive, detail oriented, works fast and efficiently, and is a team player. . This position will report directly to the Historic FaubourgTremė Association’s (HFTA) Culture Committee and will assist with the creation and implementation of sponsorship and partner programs in order to generate revenue, reduce cost and increase the overall fundraising efforts of HFTA’s Signature event, The Tremè Fall Festival.
Candidates with non-profit festival sponsorship experience of 3 or more years will fit well in this position.

The Tremè Fall Festival Sponsorship Manager will assist by managing all sponsorship recruitment activities including, research, securement and management of both new and existing sponsors and partners, as well as all related data and document creation, management and disbursement. This person will communicate and coordinate with the team in order to ensure all sponsor deliverables are met .

Responsibilities


• Will work side by side with the HFTA Culture Committee as well as other Festival Department heads to develop and implement sponsor activities and ensure the Treme Fall Festival is a high-quality event and experience for all involved.
• Become familiar with Tremė Fall Festival customer base and the type of sponsor which represents the goals and values of HFTA and research new potential sponsors that align with HFTA’s overall vision and work.
• Create sponsorship goals and levels, along with lists of potential sponsors and funders
• develop and maintain sponsorship work including developing a strategy to maintain existing sponsors while recruiting new sponsors and donors.
• Design and develop sponsorship prospectus with infographics and presentations, disseminate proposals to potential sponsors, both current and new, through email, power points and meetings in person.
• Implement a sponsorship plan and timeline with an Action Plan that covers March to November 2019. The plan should include benchmarks of achievement in 4 week increments that includes projected and actual numbers regarding sponsor meetings, specific sponsor funding targets, sponsor amounts pledged, specific amounts received, and a back-up plan for necessary adjustments if sponsor targets are not met.
• attend committee meetings to report on progress and next steps while also staying up to date on all festival related matters and operations.
• Manage sponsors database on shared spreadsheets that includes contact information, business type, sponsor amount, secure sponsor logo, maintain sponsor deadlines, and follow-up on HFTA responsibilities to sponsor.
• Deliver all sponsor promotional materials to marketing team and ensure that sponsors are properly credited in all online and print media assets.
• Ensure development and posting of sponsor related content on social media sites.
• Ensure the protection of sponsorship categories and that sponsors receive premiums as part of their sponsorship.
• Responsible for the planning, execution and management of sponsorship activations, including the VIP Hospitality area..
• Coordinate with Festival Production Manager to communicate load-in/load-out instructions for Sponsor Activations
• Act as a point of contact for all event sponsors unless otherwise directed by the HFTA Culture Committee.
• Must work work within the Culture Committee’s approved budget, developing cost estimates, tracking payments, and keeping budget accounting for sponsorship, expenses, and payables.
• Follow up Post-event with both sponsors and team members for knowledge sharing, learned best practices and ROI analysis.

Qualifications And Requirements


• Bachelor’s Degree or Equivalent Festival Experience preferred; production management, sponsorship, marketing, business, communications, or related fields a plus (or equivalent experience).
• Organized: "Type A," obsessive attention to details.
• Works well within a fast-paced environment and can adapt to changes easily and efficiently.
• Extremely strong organization, prioritization and time management skills required.
• Relies on experience and judgment to plan and accomplish goals.
• Creative/clever problem solver who is comfortable making decisions and/or collaborating with team members. Not afraid to ask questions or raise concerns.
• A high-energy, self-motivated, team player with excellent oral and written communication skills
• Ability to multi-task with minimal supervision to maintain a customer focused detail-oriented approach.
• Well versed in Google Suite / Drive , MS Office, possess strong Excel, PowerPoint, Outlook, Internet research and database skills. Adobe Illustrator, Photoshop, CAD experience a plus.
• Good judgment and discretion; strong ethical character capable of handling confidential and financial information.
• Listening and learning (Ability to assess priorities quickly, and become proficient with protocol, culture and processes).
• A polished and professional demeanor; Able to comfortably manage clients with strong emotions or unreasonable timelines/deadlines.
• Able to think outside of the box, propose and then execute approved processes, and resolve issues as they arise within all company policies and best practices.
• Must have passion for the work and the team!
