Education Requirements:

• Completion of a two-year college program or a bachelor’s degree is required for this position.
• Must have extension knowledge of MS Office tools, Google Docs, electronic scheduler (such as Calendy), Database Software, Salesforce, Adobe Photoshop, Graphic Design Tools (such as Canva), and Project Management Software (such as Basecamp).

Experience required:

• 2+ years of experience working as an Administrative Assistant within the Financial Industry.
• Must have experience managing social media pages (including Instagram, Facebook and Linkedin).
• Must have experience with Financial Statements, Invoices, Statistics, Graphic design, Marketing and Public Relations.

Education
College, CEGEP or other non-university certificate or diploma from a program of 1 year to 2 years

2 years to less than 3 years


Main Duties
1. Arrange and co-ordinate seminars, conferences, etc.
2. Record and prepare minutes of meetings, seminars and conferences
3. Determine and establish office procedures and routines
4. Schedule and confirm appointments
5. Answer telephone and relay telephone calls and messages
6. Answer electronic enquiries
7. Compile data, statistics and other information
8. Order office supplies and maintain inventory
9. Arrange travel, related itineraries and make reservations
10. Greet people and direct them to contacts or service areas
11. Open and distribute regular and electronic incoming mail and other material and co-ordinate the flow of information
12. Type and proofread correspondence, forms and other documents
13. Develop media strategies and public relations activities
14. Manage personnel information database
15. Organize conferences and meetings
16. Oversee and co-ordinate office administrative procedures
17. Co-ordinate work activities with other departments
18. Market business services
19. Troubleshoot and resolve technical problems
