Job Description:
Schedule and confirm appointments, including follow-up appointments and procedures as needed.
Complete insurance and other claim forms, verify insurance coverage and eligibility, and process payments.
Maintain a filing system for patient records, insurance information, and other documents.
Effectively manage patient encounters, and collect statistics and data from patient demographics, visit volumes, and other metrics to support practice management and performance improvement initiatives.
Verify prescription eyeglasses and notify patients when eyewear is ready.
Interview patients to obtain case histories and assist patients with frame selection, styling, fitting, lens selection and measurements.
Perform general clerical work, such as answering phones, greeting patients, responding to emails, troubleshooting, and problem solve eyewear concerns and issues to ensure patient satisfaction.
Enter and format electronically based medical reports and correspondence and prepare spreadsheets and documents for review by medical staff.
Initiate and maintain confidential medical files and records, including updating patient charts and records with current medical information.
Prepare draft agendas for meetings, take minutes, transcribe and distribute meeting minutes and coordinate follow-up actions as needed.
Participate in personal and team development training and initiatives, including supervising and training other staff in procedures and the use of current software.
Use automated and manual ophthalmic equipment, organize, and maintain inventory of supplies, including medical equipment and office supplies.
Clean and maintain equipment, including sterilization and calibration of medical instruments and devices.
Enter lab orders to restock lens inventory and order supplies and equipment, including coordinating with vendors and tracking orders to ensure timely delivery.
Maintain regular, consistent and professional attendance punctuality, personal appearance, and adhere to relevant health and safety procedures.

Job Requirements:
Education background in College, CEGEP or other non-university certificate or diploma from a program of 1 year to 2 years or equivalent experience
Holds or is willing to pursue a Certification in Canadian Certified Optometric Assistant Program (CCOA) credential would be an asset.
At least 2 years and less than 3 years of experience in a similar role as a medical administrative assistant or optometric technician/assistant.
Efficient oral and written communication skills in English and Vietnamese (able to translate and interpret verbally and in writing for Vietnamese patients).
Proficient in using computer and technology applications, including MS Word, electronic mail, MS Excel, MS Windows, MS Office, MS PowerPoint and EMR IFILE.
Able to work in a fast-paced environment and handle repetitive tasks under pressure.
Excellent attention to detail and accuracy in all work performed.
Strong work ethic and excellent interpersonal skills, and client-focused mindset.
Must be flexible, able to take the initiative, exercise good judgment, and be organized, reliable, and a team player.
