Job Title: HR / Accounts Payable Manager
Summary Plans and administers policies relating to all phases of human resources activity by performing the following duties personally or through subordinate supervisors. Also responsible for daily accounting functions, including billing, accounts payable, accounts receivable and payroll.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Oversees onboarding for all employees. This includes scheduling pre-placement drug screens and reviewing results, verifying that all items on New Hire Checklist are completed, assisting where necessary to complete certain items.
Keeps records of benefits plans participation such as insurance and 401(k) plan, personnel transactions such as hires, promotions, transfers, performance reviews, salary changes and terminations, and employee statistics for government reporting. Includes reconciliation and processing of monthly carrier invoices, completing employee census reports for benefit plans, distribution of all required documents to past and present employees.
Administers benefits programs such as life, health, dental, vision and disability insurances, 401k plan, PTO, leave of absence, FMLA and employee assistance. Includes enrolling new hires in selected benefit plans, entering employee changes as needed, cancelling terminated employees from benefit plans and preparing COBRA notices. Includes working with benefits broker and making recommendations on annual benefits renewal and working with TPA on annual 401k testing and tax returns.
Maintains accurate job descriptions for all positions within organization.
Advises management in appropriate resolution of employee relations issues, including consulting with company attorney when necessary.
Responds to employment verification requests and inquiries regarding company policies, procedures, and programs.
Participates in and reviews wage surveys within labor market to determine competitive wage rate.
Identifies legal requirements and government reporting regulations affecting human resources functions and ensures policies, procedures, and reporting are in compliance with federal and state laws.
Represents organization at personnel-related hearings and investigations.
Monitors/records daily banking activity, including maintaining Company Check registers for Stolze Printing Company.
Send monthly accounting reports to Accountant. This includes all check registers, payroll reports, sales accrual report, additional A/P listing, bank statements.
Oversees weekly payroll processing, verifying W-2 and Form 1095C information, making corrections in payroll system as needed to ensure accuracy. Includes calculating employer cost of healthcare and personal use of company property entries.
Oversees all Accounts Payable invoice processing, verifying GL codes, determines what month the entry should be placed, and keying invoices into Accounts Payable system.
Selects Accounts Payable invoices for payment and generates two Accounts Payable check runs each week. Initiates ACH payments to vendors as needed.
Prepares listing for all vendor Form 1099’s.
Reviews all customer invoices for accuracy.
Maintains Accounts Receivable function, including recording customer payments, making collection calls, making deposits, working with collection agency when needed.
Creates and maintains fixed asset records, including reconciling activity monthly and providing to Accountant.
Supervisory Responsibilities
This job supervises all office/accounting functions, including receptionist, payroll, H.R.,A/R, billing, A/P

Education and/or Experience
Accounting degree preferred with minimum five years related experience in HR and Accounting.
Language Skills
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.
Mathematical Skills
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer Skills
To perform this job successfully, an individual should have knowledge of Business Works Accounting software; Staff files Human Resource systems, Prism Enterprise Manufacturing software; Payroll systems; Microsoft Office Suite.
